Inventory POD/GRA and TOMS Lead: Consumer and Retail
Role Outline
To ensure day-to-day business application support and management for warehouse management systems - handling system issues, answering user queries and the testing of application changes or enhancements to ensure maximum system performance. As the Super User of the warehouse management systems, assist all departments/sites with systems and procedures queries as well as provide training on the warehouse systems. To ensure a high quality of Stock Control within the operation and keep stock loss to a minimal. To ensure the procedures pertaining to all functions within the Stock Control department of the Distribution Centre is carried out with the utmost professionalism to ensure smooth transition between principals and the Company. To continuously strive to improve the GRA and physical inventory process and "making DHL a great place to work".
Key Responsibilities:
Ensure accurate control of inventory up to and beyond the KPI levels expected by the customer and DHL
Plan and manage all stock counts and audits of inventory
Develop & maintain effective inventory process, incorporating warehouse management systems
Produce accurate stock Key Performance Indicator reports, analyse and recommend changes to Standard Operating Procedures to enhance accuracy and operational effectiveness
Put in place procedures to monitor and minimise stock losses
Train team members to ensure that inventory control procedures are fully implemented
Implement procedures to maintain cycle counting and perpetual inventory
Understand DHL's stock loss contractual liability and ensure any potential risk is effectively mitigated
Produce timely and accurate management information & reports as required
Manage and motivate inventory team - ensure adequate inventory team cover available across all operational shifts
Control of team budgeted hours and costs
Create and publish Standard Operating Procedures
Contribute to site continuous improvement agenda
Assists with the Configuration and deployment of WMOS/TOMS product management applications in-line with industry methodologies and standards.
Support the IT Program Leads in delivering quality product for use in the operational business.
Contribution to improving the country business unit P&L through effective usage of IT services and solutions
Responsible for contributing to the delivery of IT projects from definition phases through to successful delivery.
Compile and submit all training-related reports within a given timeframe. Develop and update new training material. Schedule and deliver training as per operation requirements
Interface effectively with the Site Teams, IT, Solutions Design and Business Development departments to gather information and build efficient, cost-effective solutions.
Identify and mitigate warehouse system risks
Investigate all stock losses and adjustments.
Maintain appropriate information / reporting systems to monitor Depot performance on an ongoing basis
Manage the PI process
Compile and submit relevant reports and statistics to Senior Management on a daily, weekly / monthly basis.
Assist in the preparation of and control of direct expenses budget by investigating variances with a focus on overtime and other variable costs {stock losses}
Ensure accurate inventory administration of all aspects of the warehouse.
Full responsibility of stock take i.e. Planning, preparation and physical counting of stock
To ensure full compliance and implementation to the Global BRC Standards.
Ensure Maintenance of product traceability
Establish control system for maintenance of stock
Qualifications/Experience:
Grade 12 / Matric - Essential
Degree or equivalent qualification will be a distinct advantage
1 -2 years Logistics Sector experience
3-year management experience
More than 3 years of operational experience will be a distinct advantage
More than 3 years of experience in Project Management
Skills/Competencies:
Good written and communication skills
Person should have a sound knowledge and understanding of a PC and the inherent controls. Proficiency in Windows, Excel, Word and Power Point.
Excellent interpersonal, leadership, motivation and planning skills
Person should know what products are handled by the Company
Person should have a good understanding of quality as a key value
Operational knowledge and understanding of service delivery
Ability to understand instructions and to accurately carry out instructions - must listen effectively and convey ideas logically
