Job Description


Purpose of the Job:To provide essential administrative support to the Human Resources Department, ensuring the efficient execution of Human Capital strategies. The person appointed will report to the Departmental Head: Human Resources.Key Performance Areas:

  • Provide administrative support to the Departmental Head including the management of incoming and outgoing mail, photocopying, filing, typing, and management of documents.
  • Manage employee filing system by creating and maintaining accurate HR-related files to ensure easy accessibility when needed.
  • Manage HR correspondence by responding promptly to internal and external HR-related enquiries and requests, providing support where necessary.
  • Perform financial and operational administration by processing all financial claims for the department and ensure capital expenditure orders are well-managed.
  • Handle travel arrangements for HR-related events, including obtaining quotes, coordinating visas, booking accommodation, and ensuring all relevant documents are prepared for travel.
  • Assist in HR reporting by compiling and presenting of monthly HR reports, including data extraction and presentation from the HR Information System.
  • Prepare ad-hoc reports as required.
  • Provide general HR support by assisting with various HR projects and tasks as needed, contributing to department-wide initiatives.
  • Manage diary by providing effective diary management through Outlook for HR team members.
  • Assist with any additional HR tasks as required to support team operations.
  • Manage supply chain management tasks for the HR Department to ensure compliance with supply chain processes and policies. Co-ordinate information requests related to internal and external audits
  • Take minutes as required
  • Assist in collating information for HR Business Plan and Quarterly HR Reports
Key Competencies:The candidate must demonstrate the following skills: knowledge of Human Resource practices and policies, ability to engage with employees at various levels within the organisation, attention to detail, analytical skills, excellent customer service skills, effective written and verbal communication skills, ability to solve problems, design and execute projects, ability to maintain high level of confidentiality, strong interpersonal/human relations skills, ability to work independently as well as part of a team, ability to operate a personal computer, proficient in the use of the MS Office suite.FSCA is committed towards increasing the representation of marginalised groups in line with its Employment Equity Plan.
