Job Description

The HR Assistant is required to assist the HR Manager in the HR function with all administrative human resources activities of the Group and ensure that various organisational problems are solved, through various HR interventions.

KEY TASKS & RESPONSIBILITIES



REMUNERATION & BENEFITS



1. Administer time & Attendance HRIS system and corrections daily.

2. Assist in preparation of timesheets for payroll & issue to the HOD's by 7th & capturing data on sheets for payroll after 15th, by 20th.

3. Assist in issuing & checking monthly timesheets of all department staff clockings & related overtime etc. & calculations according to BCEA & policies, contracts and agreements to meet deadlines.

4. Prepare import sheets for payroll from the timesheets.

5. Capture all leave from timesheets onto HRIS system and correct on time & attendance system & upload sick notes.

6. Ensure Momentum Health4me & Allan Gray forms are completed correctly for new joiners and submitted with ID's to the providers.

RECRUITMENT & SELECTION



1. Assist in preparing adverts, placing jobs online and internally and correspondence with shortlisted candidates.

2. Assist in checking application paperwork and Crim checks.

3. Assist in arranging interviews, diarizing and booking appointments and boardrooms and preparing CV's and application documents & interview guides.

4. Assist in issuing take on documents, policies, induction booklets issued & signed, scanned and filed electronically and in folder.

TRAINING & DEVELOPMENT



1. Assist as requested with applications for Seta funding for bursaries, graduates, learnerships, AET & internships.

2. Assist in arranging and scheduling statutory training with relevant staff & booking boardrooms.

3. Assist in scheduling ongoing policy & technical training as requested.

4. Assist with orientation sessions on induction booklets and scan & save relevant proof of training.

5. Support the onboarding and offboarding process by maintaining checklists, tracking forms, and ensuring timely updates to internal systems.

EMPLOYEE RELATIONS



1. Assist preparing and capturing warnings, update warning spreadsheets and assist in investigations and drafting hearing minutes.

PERFORMANCE MANAGEMENT



1. Assist in recording and capturing and filing reviews electronically and on file.

HR STATUTORY REQUIREMENTS



Assist in statutory activities such as relevant plans, practices & submissions are accurately, timeously implemented, executed & communicated.

1. Assist in preparing reports for the WSP/ATR Submission and in capturing of data.

2. Assist in preparing reports for the EEA2 & in preparing and amending the EE PLAN & capturing data.

3. Assist with Health & Safety Compliance

4. Assist with Audits.

5. Asist in updating & issuing group policies & procedures.

ADMINISTRATION



1. Assist in managing calendars, meetings, and maintain internal documentation across shared drives as requested.

2. Organize digital files and maintain recordkeeping protocols to support accuracy and accessibility.

3. Assist with the creation and formatting of internal HR documentation & communication.
