We are seeking a proactive and detail-oriented HR administrator to support our human resources function within the dynamic and creative environment of The Rooms Network. This role is ideal for someone who thrives in fast-paced, collaborative media environments and is passionate about people, processes, and precision.
Key duties and responsibilities
General HR administration
Provide end-to-end HR admin support across recruitment, performance management, employee relations, and HR projects.
Maintain and organise HR records, personnel files, and document templates.
Respond to general HR queries and escalate as necessary.
Prepare employment confirmation letters, birthday greetings, and standard employee communications as required.
Generate monthly HR reports and ensure that all employee records are filed and retained in compliance with POPIA (Protection of Personal Information Act) requirements.
Monitor and maintain accurate leave records, identify irregular leave patterns (including sick leave abuse), highlight excessive or unused annual leave, and provide monthly reports to support compliance and workforce wellness.
Onboarding
Coordinate onboarding and induction logistics (venue, communication, stationery, etc).
Facilitate induction sessions and send welcome emails to new employees.
Manage offboarding process including conducting exit interviews and flagging any concerns.
Recruitment and selection
Assist with job advertising, screening CVs, and shortlisting candidates.
Schedule interviews and send confirmations to candidates.
Draft employment contracts for freelancers, fixed-term staff, and other roles.
Conduct pre-employment checks and manage communication with successful and unsuccessful applicants.
Compile engagement packs and liaise with payroll to ensure timely submissions.
Provide monthly updates on appointments and terminations to the HR business partner.
Employee engagement
Support staff wellness initiatives and culture-building activities.
Assist with internal communication and staff event coordination.
Respond to Employee Self-Service (ESS) system queries.
