Job Description

Purpose Statement



To manage, direct and optimise

all transport activities, including any outsourcedService Provider effectiveness.

To provide solutions-based advise, support

and

continuous improvement

solutions to the group, ensuring the effective implementation of standard operating processes and procedures through internal stakeholders and structures.

To ensure safety as well as a cost-effective and efficient transportation management

which is aligned to the business strategy.

Vehicle Management (internal & external)

Service Provider SLA management (DP World and Other Outsourced)



Process Definition, Deviation reporting and corrective action monitoring

Financial and Budget Management

Provide Technical support on all logistics requirements

Continuous improvement initiatives.

Manage Operational KPIs performance targets.

Target Zero vehicle/ transport related Incidents through Overseeing and Managing the Optix- Drive Cam, Mix telematics , and incident reports with nationally.[CM1]

RESPONSIBILITY



Vehicle Management (internal and external)

Keeps files for each vehicle that contains a record of all work performed on each vehicle.

Keeps record of each vehicle's kilometers.

Keeps an up to date service spreadsheet that reflects when the next service is due per vehicle.

Ensures that vehicles are regularly serviced as per the manufacturer's requited service intervals.

Liaises with relevant external service providers with regards to quotations so as to ensure the best pricing is achieved.

Performs routine vehicle inspections to ensure that vehicle care, standards and cleanliness are achieved at all time.

Performs routine driving checks to ensure that an acceptable quality of driving is achieved.

Ensures that all vehicle licenses are kept up to date.

Ensures that all traffic fines are paid and money recovered from the drivers.

Ensures timeous resolution of all insurance claims arising from accidents and damages to the fleet.

Captures service and maintenance history on D365

Reports on fuel consumption (Review Wesbank Reports)

Control and signs purchase orders and invoices

Arranges for rental vehicle when needed

Ensures all vehicles are equipped/fitted with Tracker device

Controls fleet expenditure

Outsources transport where needed

Liaises with suppliers on pricing and resolutions

Service Provider SLA management (i.e. DP World and Other Outsourced)

Establishes and maintains a good professional working relationship with service providers.

Monitors and ensures adherence by service providers to the agreed SLAs.

Addresses any non-compliance/deviations from the SLA immediately and ensures timeous correction by the service provider.

Manage and verify the costs associated with service providers.

Transport

Route Planning: Plan and optimize routes/ vehicles for transportation, considering factors like traffic, road conditions, and fuel efficiency, picks and drops. (done in conjunction with external supplier.

Fleet Management/ optimization : Manage a fleet of via Third Party. To ensure most cost effective.

Safety Compliance: Ensuring compliance with regulations, safety standards, and company policies.

Logistics Coordination: Coordinate with logistics teams, Branches, and other stakeholders to ensure smooth transportation operations.

Cost Control: Manage transportation costs, including fuel, maintenance, and labor expenses via third party suppler.

Performance Monitoring: Monitor transportation performance, including on-time delivery, fuel efficiency, and customer satisfaction.

Problem-Solving: Troubleshoot transportation issues, such as delays, accidents, or vehicle breakdowns.

Communication: Communicate with customers, drivers, and other stakeholders to ensure smooth transportation operations.

Reporting: Prepare and submit reports on transportation operations, including performance metrics and compliance data

Controls and Reporting

Controls vehicle tracking system

Ensures maximum vehicle uptime is achieved

Provides reports when and if required

Reports on variance to budget on fleet expenditure

Report on the performance of all regions against targets of fleet availability.

Generate ongoing (weekly / monthly / quarterly/ annual) informative reports, analyzing the qualitative and quantitative performance of the department.

Financial and Budget Management

Develop of budgets for areas of responsibility and giving input into the overall operational budget (fleet maintenance and operating costs)

Effective management of the fleet budgets and adherence to financial goals

Track lost revenue and plan to improve

Continuous improvement initiatives

Continuously initiate measures, actions and plans to ensure cost and service efficiencies e.g. reducing current cost to service ratios in conjunction with the LEAN Department

Research the latest developments in maintenance and technical support to enable continuous improvement in current maintenance and support services and practices

Continuously monitor and evaluate current mechanical designs and test procedures for compliance purpose.



Any other lawful and reasonable outputs and responsibilities that may be required.



Qualifications



Minimum

Bachelor's degree or diploma in Fleet Management, Mechanical Engineering, Transport Management, or Logistics- or similar.

Experience



At least 8 -10 years' fleet management experience of which 5 years at senior management level.

Proven track record of accomplishment successfully managing more than one functional area at a national level.
