Job Description


Key Accountabilities/ Principal Responsibilities

Financial Management:

  • Manage financial accounting, reporting and controls in the Finance department and the business. Report financials at a multi-tiered level in the group
  • Prepare budgets (Opex and Capex) annually, ensuring they are captured into the system and reviewed monthly from a project and divisional performance perspective on a monthly and half-yearly basis
  • Render and review forecast models for presentation to the Finance Director
  • Prepare weekly cash flow forecast for the review of the Finance Director
  • Oversee the preparation of financial reporting, budgeting and forecasting for management and shareholders monthly, performing requisite variance analysis to add credence and understandability to financial results and outcomes
  • Engage in reporting improvement projects that eliminate inefficiencies by embracing automation and reducing the redundant effort in Finance
  • Enact change management processes in the Finance area to shorten reporting timelines and turnaround
  • Working with Procurement, HR, Quality and Operations to facilitate, end-to-end integration of systems, ensuring that duplication of effort is reduced and efficiency is amplified
  • Audit liaison and preparation of annual financial statements for review by the Finance Director
  • Review Finance Policies and procedures annually, making recommendations for changes to the FD
  • Advice on and review of finance-related matters (distributions, cash flows, finance issues, technical issues) as and when they arise
  • Develop continuous professional development plans for key staff to ensure the team remains upskilled and equipped in the changing world of Finance
  • Work closely with the Project and Operations Managers to ensure that required financial information is supplied to the teams, and to obtain relevant project information that will impact the financial status of the projects and company
  • Oversight and control of monthly payments to all suppliers and service providers.
  • Source and manage accounting systems, reporting systems, online banking systems and infrastructure where directed to do so
  • Establish appropriate review processes to ensure that the reporting systems are fit for purpose and are being utilised effectively
  • Understand the Client and Service Provider Contracts that have been negotiated and ensure payments are in line with agreed terms and conditions
  • Ensure that the information required to prepare the reports is obtained promptly and meets the requirements
  • Act as finance tender support, co-ordinating requirements with the Tenders team as and when required
  • Facilitate a culture of learning in the Finance team, and execute initiatives in line with succession planning goals in the team
  • Deal with ad-hoc functions and tasks, form completion and general facilitation of finance workflows as and when they arise
Banking facilities:
  • Manage relationships with the bank on a day-to-day basis
  • Manage access rights and user-related issues for banking purposes as mandated person
  • Ensure collaboration with Procurement on supplier payment screening processes to mitigate fraud risks
  • Work on opening new bank accounts and managing account and card requirements
  • Manage facilities and their renewal, in conjunction with the Finance Director
Accounting and inter-related systems:
  • Manage and control access to systems, ensuring the correct access rights are attributed to each user
  • Ensure that end-to-end processes are adapted to ensure that the procure-to-pay chain is controlled in finance, triggering appropriate payments to suppliers
  • Ensure cashbooks are updated weekly, ensuring that client payments are updated weekly
  • Run exception reports and audit trails to manage bank account detail changes
  • Track performance by monitoring workload to free up slack and ensure work is evenly distributed. Keep team org chart up to date
  • Work with FD to ensure that improvement processes are initiated in the system to increase automation and remove redundant effort
  • Understand how inter-linked systems influence financial results and work with support teams to leverage the power of the data stored in other systems
  • Work to fully automate timesheet and claims processes, ensuring that such information is fed into payroll for SARS purposes
  • Work with the FD to create a roadmap for Finance systems, reporting and BI tools to fully automate reporting, analysis and value add reporting into the business for all its stakeholders
Tax and Payroll:
  • Prepare and submit tax returns (general income tax, VAT and DWT queries)
  • Monthly PAYE submissions, and PAYE reconciliation (mid-year and annual) in all entities
  • Dealing with general Income Tax, VAT and DWT queries and updates where required
  • Oversee and review Payroll monthly, approve and ensure timeous payment
  • Manage Payroll payments and process all returns
  • As a custodian, ensure tax compliance is up to date in all respects on a monthly basis. Address SARS issues as they arise and with support from the FD
Company Secretarial and BEE Rating:
  • Interface with and management of company secretarial provider on basic changes that come via the FD
  • Ensure compliance with all regulatory requirements notwithstanding that certain functions will be outsourced to the auditors / professional service providers
  • Manage the B-BBEE rating process annually and oversee the renewal of all B-BBEE affidavits and certificates for the group
IT

Work with IT support company to ensure smooth business operations
  • Manage IT changes, upgrades and implementation in respect of Finance systems
  • Participate in IT forums and platforms to foster business integration and cohesion
  • Review software requirements in finance annually to build the roadmap and strategy around Finance systems with the FD
Office Equipment, Contracts and Insurances
  • Manage all office requirements regarding assets and service contract costs in Finance
  • Ensure contracts are documented and are renewed/cancelled timeously
  • Ensure that Finance manages contractual end dates as a back-support function that assists the business in tracking and facilitating contractual conversations with clients.
  • Lease management work with corporate services to ensure this is managed properly
  • Asset register management automate this process in line with automation goals
  • Work with FD to ensure that the groups insurance policies are timeously renewed by FD
  • Report on guarantees, facilities and insurances in monthly CFO reports
It should be noted that, for operational reasons, it may be necessary to perform tasks other than those described herein from time to time

Prescribed procedures may be amended by management as and when required

Key Skills and Experience
  • CA (SA) with 5 years of post-articles experience or experienced honours-level accounting graduate with 10 years of financial management experience
  • Ideally, this experience will be in the services, construction or financial sector, particularly with project accounting technical knowledge, including knowledge of accounting systems
  • Strong communication skills with the ability to create broader cohesion and integration amongst stakeholder groups in the organisation
  • Good planning and organizing skills, but also a hard, controlling skillset that ensures follow-through on delivery and output requirements
  • Strong MS Excel skills, with the view of using it as a springboard for finance automation initiatives.
  • Show a willingness to study further in management and leadership studies to further management exposure for succession planning goals within the organisation
  • Proactive, analytical and strong attention to detail
  • Ability to work in both structured and unstructured environments
  • Ability to work fluidly in a fast-paced, agile and flexible environment
  • Management and leadership skills essential for success in complex environments

  • Manage the Finance team Project Accountants and Finance staff with inter-connected finance and admin staff in the business.
  • Ability to collaborate deep and wide in the organisation
  • Good people skills in being able to deal with a range of people, directors, and non-finance staff.

  • Incorporate the current and additional clients into existing processes and make decisions on additional systems that may be required
  • Create a platform that enables more structure, order and control within the Finance area
  • Flexible assistance with requirements as they arise. A strong need thus for prioritization, effective delegation, control-based mentality, thinker, but also strong with follow-through and tracking of team outputs for improved team performance
  • The "GrpFinMan" will be required to work from head office for the majority of the week to ensure service is delivered in line with business requirements
