Job Description


Main purpose of the job:

  • To provide operational support to the Fleet Manager and ensure effective, efficient, and safe operation of the fleet.
Location:
  • 31 Princess of Wales Terrace, Parktown, Johannesburg
Key performance areas:

Fleet Maintenance expenditure authorisation and control: -
  • Manage and monitor maintenance operational expenditure (OPEX) within allocated budget.
  • Receive and evaluate authorisation request in accordance with delegated mandate for Managed Maintenance expenditure.
  • Evaluate authorisation requests and if necessary, identify beneficial alternatives.
  • Identify, utilize, and confirm OEM & supplier warranty / guarantees.
  • Liaise with MM Supplier and escalate any issues to the Fleet manager.
  • Provide 2nd authorisation for Managed Maintenance expenditure.
  • For major mechanical repair initiate repair, replace or scrapping decision process to Fleet Manager.
  • Prepare consolidated reports of activity and expenditure and submit to Fleet Manager.
  • Report and submit the necessary completed Insurance claim documents to WHC Insurance department.
  • Assist WHC Insurance department in the repair process and approval of ACCIDENT repair.
COF and Fleet Roadworthiness: -
  • Receive request for COF certificate from Fleet Administrator /Fleet Officer- Driver Services
  • Obtain COF certificate and submit to Fleet Administrator /Fleet Officer - Driver Services, for relicensing.
  • Ensure that the fleet is always Roadworthy and in compliance with Traffic Legislation.
  • Remove unroadworthy vehicles from operations for corrective maintenance.
  • Obtain quotations, evaluate, authorize expenditure, manage repair, and return vehicle to service.
Fleet Reporting: -
  • Capture all service, maintenance repair and tyre expenditure to the FMIS system.
  • Prepare and submit ad hoc, monthly, and yearly reports of vehicle and dealer expenditures.
  • Analyze dealer expenditure and operational processes to identify procurement and operating benefits, and report to the Fleet Manager for inclusion in future maintenance and repair operations.
Stakeholder Relations: -
  • Build, support and maintain healthy diverse internal and external relationships to ensure achievement of organisational goals.
  • Implement remedial actions where required, in consultation with the Fleet Manager.
Compliance: -
  • Adhere to relevant statutory and legislative regulations, standard company operating procedures (SOP's), policies and practices.
Required minimum education and training:
  • Diploma/Certificate in Fleet Management or a qualification in Transport Management.
  • A valid unendorsed South African driver's license.
Required minimum work experience
  • Minimum of 5 years relevant working experience in Fleet Environment with managed maintenance experience.
Desirable additional education, work experience and personal abilities:
  • Punctuality and good time keeping must be adhered to at all times.
  • Good organizational, leadership and team skills. Flexibility and attention to details. Able to work independently. A self-starter. A professional and positive disposition.
  • Customer orientated and tactful.
  • Contactable after hours in instances of Fleet related emergencies.
  • Overtime work and occasional travel may be required from time to time
  • Self-motivated with a high regard for work ethic, values and integrity.
  • Must demonstrate strong interpersonal and communication skills, computer experience for maintaining database of vehicle information and familiarity with make and models of current fleet vehicles.
  • Good understanding of motor vehicles mechanics, technical, analytical and negotiation skills.
