58Fleet is seeking to employ a qualified and experienced Fleet Administrator. The successful candidate will join a dynamic and highly skilled Demo Plan Team.

The successful candidate will report directly to the General Manager.

Position Overview




The Fleet Administrator is responsible for managing demo fleet allocations and returns, processing vehicle invoices, and ensuring accurate documentation. This role involves maintaining and updating fleet records and databases, liaising with internal departments and external stakeholders (e.g., dealers, importers/OEM, and finance), and supporting asset transfers and acquisitions in line with company policy. The Fleet Administrator ensures compliance with operational and financial controls, assists with monthly reporting and reconciliations, and provides support during audits to resolve fleet-related queries.

Specific Role Responsibilities



Manage demo fleet allocations and returns Process vehicle invoices and ensure accurate documentation Maintain and update fleet records and databases Liaise with internal departments and external stakeholders (e.g., dealers, importers/OEM, and finance) Support asset transfers and acquisitions in line with company policy Ensure compliance with operational and financial controls Assist with monthly reporting and reconciliations Provide support during audits and resolve fleet-related queries Attend to requests for quotations from relevant business functions Update operating systems with calculations and dealer quotes Convert signed quotes into deals and prepare delivery documents Activate deals and ensure goods are received on the system once delivery is completed Engage with relevant business functions on contracts reaching end of term and action accordingly Coordinate the order and distribution of vehicles and value-added services as per customer request Ensure systems are updated with relevant vehicle and driver information Ensure eTag and fuel cards are linked to the correct vehicle and driver

Qualifications and Experience



Matric / Grade 12 National Diploma in Fleet management/Supply Chain/Logistics or similar (preferred) Experience in the fleet management is an added advantage Sound understanding of the automotive industry at large

Skills and Personal Attributes



Basic knowledge of asset accounting and fixed asset processes Attention to detail Strong internal and external stakeholder management skills Ability to multi-task Work well under pressure and manage stress effectively Computer literate Excellent verbal and written communication skills Criminal and Credit Clear * Own and live up to company values
