Job Description


The primary purpose of this role is to provide exceptional service to Independent Distributors. Build long term relationships by providing encouragement, motivation, and support to Distributors, as well as educating Distributors on the essential tools to build their business.

The secondary purpose of this position is to assist in all activities in the Warehouse. To be multi-skilled and be able to work across all Warehouses.

Please note that this position will be an initial 3-month contract with a possibility of permanence.

Key Responsibilities

Include, but are not limited to the following. Other duties may be assigned as needed to meet business needs. Contacting and welcoming all new Distributors and keep a report of all feedback from new distributors. Liaise with the DC's on the new distributor lists.

Obtain Distributor information via telephone; email or any other means; verifying Distributor information etc. Liaise with the mailing Department.

Updating banking details for all the distributors. Determines eligibility by comparing client information to requirements.

Handle all DC's and Hub payments. Liaise with the Accounts Department.

Handle all queries brought forward by Distributors or other departments pertaining to Distributors.

Provide Distributors / Customers with product and service information, written or verbal.

Informs Distributor by explaining procedures; answering questions; providing information and/or sourcing it from relevant Departments and any communication

Identify and escalate priority issues

Complete Call Logs, Query Logs and maintain them; Make sure they are up to date and generate reports when necessary.

Accomplishes sales and organization mission by completing related results as required.

Maintains quality results by adhering to standards and guidelines

Updates job knowledge by attending training and studying all new rules, procedures, policies etc.

Distributor Queries

Handle any queries relating to orders, which include short deliveries, short payments or over payments, incomplete orders etc. These queries will include personal and telephonic contact as well as written correspondence.

Recording all queries on a Query Handling Form - following form through to completion.

Filling in product complaint forms

Team Production

Putting through qualification orders, transferring PV, contacting PT and WT with results, faxing team points.

Working out commissions, processing of PV/BV transfers.

Maintaining updated distributor information on the AS400

Contacting Distributors with returned mail.

Requesting re-issuing of cheques - correction of information on cheques

Month-end

Putting through qualification orders and PV/BV transfers.

Checking qualified levels of distributors and confirming. qualifying status with distributor. Pooling.

Sorting, splitting and collating month-end prints.

Distributing month-end prints.

Packing of pins and communication.

General Duties

Perform any function that may be reasonably required from time to time.

Ensure that the DRO area is kept neat and tidy at all times.

Handling Distributor queries and logging them.

Filling and administration duties.

Handling DC Administration on Accounts payments and compiling it in a monthly log.

Recommend improved procedures.

Any other office work that may be requested.

Inventory

Perform any function that may be reasonably required from time to time

Ensure that the warehouse area is kept neat and tidy at all times.

Alternating between warehouses

Need to log into the telephone system on a daily basis

Recommend improved procedures Assist with the re-packing of goods within the warehouse Responsible for receiving, picking, packing, checking and dispatching of goods according

to the Standard Operations Procedures Correct shipping of all goods to Africa DC'S / export shipments Re-packing of pallets to meet shipment requirements Off-load / load containers/trucks coming/going from the Warehouse Assist in the monthly stocktaking cycle counts when required Ensure that the entire warehouse is kept clean and tidy at all times Literacy: Ability to read and write English Ability to work towards a deadline and under pressure Compliance with all Company Rules and Regulations Neatness of work in general Assist in the warehouse with cycle count monthly and daily Controlling of all warehouse related activities Stock rotation (FIFO) is done correctly

Functions

Able to work flexi hours to suit the requirements of the Business Operating Hours and to attend certain events which can include working over weekends

Housekeeping

Ensure that good housekeeping practices are met on a daily basis

Comply with all OHASA Rules and Regulations

Maintenance of all warehouse equipment

  • Must be detail oriented and thoroughness in completing tasks.
  • Ability to work effective within a team or independently with minimal supervision.
  • Good interpersonal skills; telephone etiquette; and good organizational skills.
  • Must possess good keyboarding skills, have PC experience, and familiar with Windows PC applications and MS Offices, which includes the ability to learn new computer system applications.
  • Ability to navigate a computer while on the phone.
  • Must have the ability to work under pressure in a fast-paced environment while handling multiple tasks, including ability to understand multiple products and multiple levels of benefits within each product.
  • Must be dependable and punctual in attendance.
  • Ability to work early mornings, late evenings, and weekends, if needed.
Measures of Success
  • Increased customer satisfaction, improved call efficiency, lower abandonment, increased revenue, improved process efficiency
Education and Experience
  • Education level - Grade 12 plus 2 years administrative experience
  • Tertiary Qualification an advantage
  • PDP will be an advantage
  • Able to count and to be able to determine quantity on pallets
  • License for the Counterbalance Forklift, Turret Forklift (man up) and Pallet Jack
  • Able to work at a height of 12 meters & above
