Job Description

A well established premium residential property management and sales company in Cape Town is looking for a dynamic and driven Maintenance Manager to ensure that all maintenance activities across the Cape Town portfolio are executed efficiently, cost-effectively, and to the highest standard. This includes reactive, preventative, and inspection-driven maintenance--delivered within defined service level agreements (SLAs). The Maintenance Manager will lead and develop a team of in-house technicians and administrators, coordinate with external contractors, and uphold standards that enhance property value, guest satisfaction, and owner confidence. Success in this role means minimal downtime, maximized operational readiness, and consistently excellent property condition across the entire portfolio.

Responsibilities



Management of Maintenance Task System (Boom):


All maintenance jobs--whether reactive, preventative, or identified through inspections--are completed within agreed SLAs as tracked in Boom. Escalations are rare, response times are consistent, and backlog is actively managed.

Run a Lean and Revenue-Conscious Division:


Operate the maintenance function at the lowest effective overhead by optimising labour, sourcing competitively from external contractors, and ensuring accurate and fair billing to owners. Identify and develop new revenue opportunities (e.g., value-added services, margin on materials, or partnership rebates) without compromising trust or service quality.

Claims & Under-Recovery Tracking:


Ensure that every breakage/damage incident is logged and monitored ; pursue recovery from Truvi, guests, or third parties; report monthly to Operations Manager on under-recoveries..

Maximize Value for Property Partners (Owners):


Ensure property owners perceive excellent value through transparent pricing, avoidance of unnecessary costs, and high standards of workmanship. Monitor and manage contractor performance and pricing to prevent overcharging, with proactive communication to owners when issues arise.

Oversea Complex Projects:


Lead technical scoping, tendering, and sign-off for major maintenance issues or improvements, and assist Partners and provide clear CAPEX/ROI recommendations and justifications. Provide oversight over the course of these projects to ensure that our partner's interests are being looked after.

Build and Lead a High-Performance Maintenance Team:


Recruit, train, and retain a skilled in-house team and establish a reliable network of preferred external contractors. Develop clear processes for prioritisation, quality control, and communication across the team.

Use Data and Reporting to Drive Accountability and Improvement:


Leverage dashboards and reports in Boom and other systems to identify trends, inefficiencies, and recurring issues. Use these insights to improve performance, predict maintenance needs, and communicate effectively with internal stakeholders and property owners.

Role-Specific Competencies



Technical Knowledge of Maintenance Systems

Deep understanding of residential building systems and common maintenance issues. Able to audit workmanship, estimate scope, and guide repairs confidently.

Financial Acumen

Strong grasp of cost management, budgeting, and value engineering. Understands pricing mechanisms and contractor economics to keep costs controlled and value high.

Team Leadership & Development

Can motivate, coach, and hold accountable a team of technicians and administrators. Builds a culture of ownership and excellence within the team.

Vendor & Contractor Management

Selects, negotiates with, and manages external service providers effectively. Establishes preferred supplier relationships based on performance, price, and reliability.

Communicates clearly and professionally with internal teams and external stakeholders (especially property owners). Able to de-escalate tension and explain complex technical issues in plain terms.

Process Improvement Mindset

Continuously evaluates maintenance workflows and seeks out tools or methods to increase efficiency, reduce friction, or improve guest outcomes.
