Job Description


About the role:

To ensure the buildings are properly maintained, clean, and safe and to oversee the staff management of the fleet, cleaning, maintenance, security, and stores management. Responsible for management tasks such as supervising contractors, managing budgets, relationship building with service providers, and advising on long-term energy efficiency. This position is also a key role player in Occupational Health and Safety compliance.

Essential functions of the job:

  • Responsible for facility management through the following tasks:
- Compile short and medium-term maintenance plan for existing facilities.

- Compile medium to long-term capital layout plan to enhance existing facilities.

- Maintain supplier relationships to ensure service levels are maintained.

- Respond to, coordinate, and oversee reactive maintenance issues timeously.

- Review facility spend monthly and recommend and implement changes to minimise cost; and

- Effective control, coordinate and maintain oversight over all facility security matters.
  • Responsible for the overall risk management of facilities.
  • Contribute meaningful as key stakeholder of the Health and Safety Committee and act upon their instructions.
  • Proactive management of risks related to Occupational Health and Safety from a facility management point of view.
  • Act as key contact person related to facilities management during the Health and Safety audit.
  • Ensure policies and procedures relating to the effective operation and control over stores are maintained and adhered to.
  • Collaborate with other departments to ensure adequate stock levels and access to stock.
  • Oversee fleet operations and ensure fleet policies and procedures are maintained and adhered to.
  • Evaluate maintenance contractors and service providers for effectiveness and price competitiveness.
  • Negotiate increases with existing contractors and establish and evaluate sole- and preferred service providers
  • Ensure all policies and procedures relating to facilities management are updated, maintained and ensure adherence.
  • Manage the divisions actions, staff complement and resources.
  • Ensure constant operational efficiency within areas under control.
  • Continuously evaluate plans, actions and resources to ensure that objectives are achieved.
Qualifications and experience:

A relevant diploma or equivalent qualification in business administration, project management, facility management, or building science.

A relevant professional qualification (e.g. Certified Facility Manager) will be an advantage.

A minimum of five years relevant experience in facilities management, of which two years should be on a management capacity managing subordinates.

Skills and knowledge:
  • Advanced understanding of Occupational Health and Safety Act (OHSA).
  • Advanced knowledge of Health and Safety procedures.
  • Solid understanding of all aspects of facilities management.
  • Knowledge of development and implementation of service level agreements.
  • Proficient in report writing and presentation thereof.
  • Intermediate knowledge of MS Office.
  • Knowledge of basic accounting and finance principles.
  • Able to manage a successful team.
  • Self-starter with a questioning mind-set.
  • Ability to communicate accurately and build good working relationships.
  • Good planning and organising abilities.
  • Valid driving licence.
  • Required to be available on stand-by to attend to critical maintenance/emergency matters on-site including after-hours.
