Job Summary




We are looking for an exceptional Executive Assistant with deep expertise in ClickUp to support our executive team. The ideal candidate is a detail-oriented, organized problem solver who thrives in a dynamic, fast-paced environment. In this role, you'll manage complex schedules, organize tasks, and provide comprehensive support to executives.

Key Responsibilities



Calendar & Scheduling

: Efficiently manage complex executive calendars, coordinate meetings, andarrange travel logistics.

Task & Project Management in ClickUp

: Organize, track, and monitor tasks and projects in ClickUp, ensuring alignment with team priorities and deadlines.

Communication & Correspondence:

Act as the primary point of contact for the executive team, managing emails, drafting memos, and coordinating communications.

Document Management

: Prepare, organize, and maintain documentation, keeping all files accessible and up-to-date.

Meeting Support:

Arrange meetings, prepare agendas, take minutes, and follow up on action items. Use ClickUp to monitor task progress and ensure completion.

Research & Reporting:

Conduct research on various topics and compile information into clear, concise reports.

Travel Coordination:

Plan and arrange executive travel itineraries, accommodations, and logistics, maintaining all details in ClickUp.

Special Projects:

Assist with ad hoc projects, presentations, and data analysis as needed.

Qualifications




Experience: 3+ years as an Executive Assistant or in a similar role, ideally supporting senior executives.


ClickUp Mastery: Advanced proficiency in ClickUp, including task management, workflow automation, dashboard creation, reporting, and integrations.


Tech Skills: Proficiency in productivity tools like Microsoft Office Suite (Excel, Word, PowerPoint), Google Workspace, and other project management software.


Communication: Outstanding written and verbal communication skills.


Organizational Skills: Ability to prioritize tasks, manage time efficiently, and maintain attention to detail.


Problem-Solving: Demonstrates initiative, resourcefulness, and a proactive approach to overcoming challenges.


Discretion & Professionalism: Maintains a high level of confidentiality and professionalism with sensitive information.
