The Role



We're looking for a mid-weight Project Coordinator to join our team on a full-time, permanent basis.



This role is suited only for someone who already understands the realities of live delivery - tight timelines, shifting scopes, multiple suppliers, and on-site pressure. Someone who thrives on structure, detail, and execution, and can confidently coordinate the operational detail that underpins high-quality execution.



You'll support our Project Managers across multiple projects, acting as the operational backbone that keeps everything moving smoothly - from documentation and logistics to supplier coordination and on-site execution.



This is a hands-on role with real responsibility, exposure to complex projects, and clear opportunities for growth within project delivery.

Non-Negotiables:




3+ years proven experience in live, hybrid and virtual events and experiential projects. Please note: Project coordination experience in industries such as mining, construction, finance, or IT (without live event delivery experience) will not be considered. Demonstrated experience coordinating event suppliers, logistics, and project documentation. Strong operational and administrative capability, with exceptional attention to detail. Proven ability in managing multiple projects simultaneously, each with its own deliverables, timelines, priorities, and stakeholders. Confidence working with schedules, function sheets, call sheets, and project files. Ability to remain calm, solutions-focused, and effective under pressure and tight deadlines. A collaborative, proactive attitude, with the ability to work independently when required. Willingness to work flexible hours and attend on-site events when required.



The Basics:




Fluent in English, with strong written and verbal communication skills. High standards for accuracy, organisation, and follow-through. Strong sense of accountability, professionalism, and reliability. Punctuality and preparedness are essential.



Place of Work:



This is a full-time, office-based role, with regular on-site work at venues for recce visits, set-up days, and event days. Our offices are based in the Rosebank business hub.

Office Hours:



Monday to Friday, 08:30 - 17:00

Flexibility required based on project and event schedules.
