Purpose of Role




The Jakes Gerwel Fellowship is an NGO with the vision to develop fellows who are expert teachers, educational leaders and social entrepreneurs. Jakes Gerwel Fellows are at the forefront of solving the most pressing educational challenges, and in so doing, improve schools in South Africa.



To coordinate and support the planning, execution, and continuous improvement of Programme and organisational events at JGF. The Events & Logistics Coordinator ensures that all events are delivered efficiently and to a high standard, supporting both programmatic and organisational

objectives. The role works closely with event owners, Programme teams, and other stakeholders, and is responsible for all logistical arrangements, vendor management, and post-event processes.

Objectives of Role



Plan events in collaboration with event owners: source vendors, obtain quotes, draft logistics plans, and ensure plans and budgets are signed off. Execute pre-event logistics: secure vendors, finalise arrangements, and communicate with all stakeholders. Coordinate on-the-day event execution: oversee setup, manage vendors, troubleshoot issues, and ensure smooth running of events. Manage post-event processes: collect feedback, ensure timely submission and reconciliation of all event-related expenses and document lessons learned. Arrange travel for talent and programme participants: book flights, car hire, transfers, and accommodation. Manage logistics for branded goods: obtain quotes, distribute items, maintain stock/inventory, organise the storeroom and maintain records. Support operational logistics: coordinate ad hoc couriers, deliveries, and movement of materials as required. Maintain accurate records of vendors, contracts, event documentation and events plans. Ensure compliance with organisational policies and legal requirements (e.g. contracting and POPIA). Compile event risk analysis and post-event reports

Experience and Qualifications



Qualification:




Diploma or NQF Level 6 in Events Management, Administration, or related field (essential).

Experience:



3-5 years' experience in events coordination, logistics, or related support roles. Experience with programme or organisational events in a non-profit or educational context (preferred). Experience working independently to complete tasks and manage vendors

Skills




Strong organisational and time management skills. Able to manage multiple priorities and deadlines. Excellent written and verbal communication. Proficient in Microsoft Outlook, Teams, and OneDrive/SharePoint. Basic budgeting and reconciliation skills. Comfortable using project management tools (preferred; training provided if needed). CRM experience (Salesforce preferred; training provided if needed)
