Job Summary

Duties / Responsibilities

  • Financial Responsibilities
  • To assist despatch expenses remain withing set budget and no unnecessary overtime is incurred
  • Monitor human errors - no more than 3 per employee per month
  • Assist with weekly and month stock takes
  • Assist with variances being resolved within 24 hours and 0% stock losses occur
  • Customer Responsibilities:
  • Provide timeous and constructive feedback to internal and external customers on issues arising
  • Guarantee queries are handled immediately and resolved within 24 hours
  • Resolutions found for re-occurrence and SOP updated within 24 hours
  • Action weekly check to ensure all customer tyres are delivered
  • Action issues and resolve within 24 hours
  • Immediate investigation and action taken on tyres being returned
  • Action tyres for re-delivery once resolved within 48 hours
  • Operational Responsibilities:
  • Confirm tyres inspected at final inspection - pattern, repairs, quality of product and tyre details vs job tickets
  • Confirm tyres are checked vs IBT and quality check done at depatch exit
  • Stock tyres moved timeously and weekly floor list done
  • Confirm no tyres leave despatch floor without an IBT number
  • Confirm tyres are moved off despatch floor timeously to the correct branch and CCF lines
  • Make certain invoices are checked vs tyres throughout the day
  • Undertake that job ticket numbers are checked vs invoices to ensure details are correct
  • Control the movement of tyres for preloading to the dedicated area in despatch
  • Make sure timeous loading takes place on arrival of vehicles
1 hour standing time * Control the check of quantities prior to loading of vehicle
  • Make sure invoices marked xe2x80x9con rimxe2x80x9d , tyres are fitted to rims
  • Verify trip sheets are signed by both loading supervisor and driver prior to departure of vehicle
  • Ensure stock truck is available daily and stock to stores are moved timeously as per SOP
  • Management of inside and outside despatching area
  • Manage the investigation on issues and see through from start to finish
  • Initiate rep and customer satisfaction through quality feedback methods ie email, telephone call.
  • Find solutions to stop re-occurrence of issues
  • Mare sure feedback is given to Top Management once resolved.
  • Learn & Grow Responsibilities:
  • Confirm weekly despatch meetings are held and minuted
  • Conduct disciplinary action as and when needed
  • Exercise Despatch SOP at all times
  • Create a daily learning culture through xe2x80x9con the jobxe2x80x9d training when handling queries, challenges and issues
  • Ask the correct questions when interviewing
  • Correct onboarding process to be followed at all times
  • Make sure correct and thorough training is given and recorded
  • Check despatch areas are clean and maintain a high standard of cleanliness as per SOP
  • Check tools are cleaned weekly and gauges calibrated
  • Check that tyres are packed neatly by close of shift daily
Requirements
  • Grade 12
  • Dispatch Experience 5+ years
  • Supervisory Experience 2+ years
  • Basic IR and HR knowledge
  • High level of English Literate
  • Able to Work under pressure.
  • Able to work every Second Saturday
  • Able and have transport to work overtime as is reasonably required.
  • Attention to details and highly organised.
  • Reliable Transport
  • Knowledge or working experience on Sage Evolution and Sales Forces would be an advantage.
  • Good basic understanding of Excel is required
