Dental Practice Manager

Job Description

Our client in Paarl, is looking for qualified and experienced Dental Practice Manager to join their team. The ideal candidate must possess a combination of strong managerial skills, exceptional communication abilities, and a background in dental practice management. As a vital part of their practice, you will play a key role in delivering exceptional patient care, supporting the dental professionals, and ensuring smooth day-to-day operations. The ideal candidate will have a minimum of 4 - 5 years' experience.

You will be responsible for the following:

Patient Experience

Greet and welcome patients warmly upon arrival, ensuring they feel valued and

comfortable

Assist patients with completing necessary forms, providing guidance on payment

options and treatment details

Address patient complaints and concerns courteously and promptly, maintaining a

high standard of patient care

Maintain a clean, welcoming, and organized environment for patients and staff

Make children feel welcome and introduce them to available games/entertainment

If patients are early or if the dentist is running late, offer them refreshments (coffee or

water)

Sharing knowledge to patients on products selling at the practice

Practice Operations

Open and lock up the practice daily, ensuring the premises are secure and ready for

operations

Ensure all treating rooms, kitchen appliances, air conditioners, and equipment are

turned off at the end of the day

Arrange plants and furniture in their designated areas before 08:00 each morning

Oversee cleaning staff to ensure all tasks are completed to the required standard

before operations begin

Ensure proper functioning of practice management software and troubleshoot minor

issues

Manage office supplies, equipment, and facilities maintenance, keeping detailed

records and placing timely orders

Coordinate timely arrival and pick-up of laboratory work to support treatment

schedules

Create and maintain office documents (e.g., templates, logs, spreadsheets) to improve

workflow and consistency

Continuously evaluate and improve workflows to enhance overall office efficiency

Appointment Management

Schedule, reschedule, and manage cancellations for patient appointments via telephone,

WhatsApp, and email

Ensure efficient patient flow by optimizing appointment schedules and coordinating

with clinical staff

Financial Administration

Maintain accurate patient accounts and ensure proper record-keeping

Generate and dispatch patient invoices, processing both insurance and private claims

Handle daily financial transactions, including cash and credit card payments

Familiarize yourself with medical aid protocols to ensure patients understand cover,

avoid unpaid walkouts, and confirm benefits.

Manage Petty Cash

Submit the practice's daily invoices to the Accounts Department for processing and

assist with the preparation of month-end reports and manage any account enquiries

Treatment Coordination

Prepare treatment quotations based on dentist recommendations and update them on GoodX

Schedule approved treatment plans and ensure patients understand their financial

responsibilities

Coordinate specialist referrals and liaise with insurance companies for pre authorizations

Maintain a clear understanding of dental treatments to facilitate accurate and thorough

treatment planning. If uncertain, take initiative to educate yourself to provide precise

estimates

Team Collaboration

Collaborate with dental office staff to streamline treatment scheduling and billing procedures

Maintain organized records of all quotations and oversee front desk staff and dental

assistants

Organize team activities, including staff birthday celebrations, to foster a positive workplace culture

Foster teamwork by encouraging staff to share responsibilities, remain flexible, and support one another to ensure a great patient and workplace experience

Marketing

Familiarize yourself with the practice's social media promotions and information to respond

effectively to patient enquiries

Assisting Marketing department with analysing information

Education:



Matric

Dental Assisting Diploma will be adv

Minimum 4 -5 years' experience within the dental industry

Computer Literate: MS Office (Word, Excel, Outlook) & GoodX

Skills:



Professional, reliable, initiative, customer service orientation

Knowledge of dental terminology, procedures and diagnosis

Excellent interpersonal, organizational, and communication abilities

Problem solving

Attention to detail and accuracy

Excellent verbal and written communication skills to interact clearly and professionally with clients and colleagues (Afrikaans & English)

High level of integrity, ethical values and confidentiality
