Job Description

We are seeking a dedicated and detail-oriented Deceased Estate and Conveyancing Administrative Assistant to join our dynamic team. The ideal candidate will provide vital administrative and paralegal support in both deceased estate administration and deceased estate conveyancing, ensuring that all matters are handled efficiently, accurately, and professionally.

This is an excellent opportunity for someone with strong organisational skills, excellent attention to detail, and previous experience in a legal or similar environment to take on a key support role in our firm.

Key Responsibilities



Deceased Estates Administration



Assist with the drafting and lodging of documents with the Master's Office. Open and manage estate files, track progress, and follow up on outstanding matters. Communicate with executors, heirs, beneficiaries, and financial institutions. Prepare liquidation & distribution accounts, reconciliations, and related correspondence. Maintain accurate record-keeping and assist with estate finalisation procedures.

Deceased Estate Conveyancing Administration



Open and manage deceased estate conveyancing files from instruction to hand over to Conveyancer. Prepare deceased estate transfer documentation. Obtain rates clearance, levy, and other clearance certificates. Draft correspondence and maintain accurate file records. Assist with FICA compliance and file audits.

Requirements



Minimum

2-3 years' experience

in a conveyancing and/or deceased estates department. Sound understanding of the

conveyancing process

and

estate administration procedures

. Proficiency in

Microsoft Office

and conveyancing/estate software. Excellent written and verbal communication skills. Strong organisational skills and meticulous attention to detail. Ability to work independently and under pressure with tight deadlines. Professional, client-focused attitude and strong sense of integrity.
