Purpose Of The Job:
Our client, a rapidly expanding motor dealership group, are seeking an experienced HR Administrator to join their Head Office team, working between Sandton and the Eastrand branches. The HR Administrator will be responsible for the full HR function at dealership level. This includes managing all operational, administrative, and advisory HR responsibilities to ensure compliance with company policies, procedures, and labour legislation. The role supports line management with sound HR and IR practices and serves as the primary HR contact on-site. The ideal candidate will thrive in a busy, collaborative setting where adaptability, accuracy, and teamwork are essential for success.
Key Responsibilities:
Payroll and Time & Attendance Administration

  • Accurately calculate and capture overtime using Uniclox and process it on Sage VIP Payroll
  • Capture commissions and incentives on Sage VIP in line with dealership policies
  • Run monthly payroll reports for review and submit final reports to the HR Manager
  • Address payroll-related queries post-review, ensuring resolution and employee satisfaction
  • Capture and reconcile leave transactions; ensure proper leave balances and approvals are in place
  • Administer ESS (Employee Self Service) platform support and queries
Onboarding and Offboarding
  • Draft employment contracts and ensure completion of all onboarding documentation
  • Facilitate the signing and filing of contracts and supporting documents
  • Submit engagement packs to the Payroll Administrator in a timely and complete manner
  • Draft termination documents including UI19, salary schedules, certificates of service, and provident fund withdrawal documentation
  • Submit complete termination packs to Payroll Administrator and ensure proper closure of employee files
Disciplinary & IR Support
  • Issue verbal and written warnings in line with company policies and labour legislation
  • Conduct counselling sessions (including performance counselling) and document outcomes
  • Organise and coordinate disciplinary hearings, including liaising with external chairpersons and relevant management
  • Issue hearing outcomes and ensure accurate recordkeeping of IR processes
  • Assist managers in resolving employee relations matters with sound HR and labour law guidance
  • Ensure compliance with internal group HR/IR policies and procedure
General HR Administration
  • Maintain accurate and up-to-date employee files (electronic and physical)
  • Draft Acknowledgements of Debt (AODs) for loans; ensure affordability assessments are conducted
  • Submit claims to the SAF (Sick Assistance Fund), including medical certificates and supporting documents
  • Maintain and reconcile the SAF tracking schedule monthly
  • Capture injury-on-duty (IOD) incidents and submit required documents to the relevant authority (e.g. COID)
  • Handle all internal HR communications--distribute approved notices, policy updates, and memos to staff
  • Perform administrative duties on Dealernet platform and ensure accuracy of HR data
Support to Management
  • Serve as the on-site HR representative, offering guidance on employee relations, disciplinary procedures, and HR policies
  • Ensure dealership practices align with broader group HR standards and labour law
  • Participate in HR audits, compliance checks, and monthly reporting as required
Required Skills & Experience:
  • Grade 12 (Matric)
  • National Diploma or Degree in Human Resources or related field
  • Minimum 2-3 years' experience in a generalist HR role, preferably in a motor dealership with more than 120 staff
  • Motor Industry experience is Essential!!
  • Strong Payroll administration skills with experience with large volume, dynamic and multi-facetted payrolls.
  • Proficient in Sage VIP, Uniclox, Dealernet, and Microsoft Office
  • Strong understanding of BCEA, LRA, EEA, and MIBCO Main Agreement
  • Knowledge of SAF, ESS, and motor dealership incentive structures
  • Familiarity with MIBCO and bargaining council procedures
  • Excellent communication, interpersonal, and conflict resolution skills
  • Highly organised with the ability to manage multiple priorities
  • Discretion and confidentiality in handling sensitive employee matters
