The Customer Services Coordinator is responsible for ensuring exceptional customer service and customer satisfaction by accurately processing customer orders, coordinating dispatches, managing quotations, samples, pricing support, and after-sales service. The role requires close coordination with internal departments to ensure orders are delivered correctly and on time, in line with customer expectations

Customer Orders & Purchase Orders
Process and administer customer purchase orders accurately on BPCS
Monitor and expedite delayed manufactured and purchased orders
Communicate order status and delivery expectations to customers
Scheduling & Order Management
Plan and schedule customer orders according to priority and production capacity
Maintain and update Export Order Status Reports
Issue order acknowledgements confirming dispatch dates
Shipping & Logistics
Capture and manage accurate shipping instructions
Liaise with Warehouse and Shipping to ensure timely dispatch
Follow up on shipments and provide tracking details to customers
Quotations, Pro-Forma Invoices & Payments
Assist with the preparation of quotations and pro-forma invoices
Liaise with Product Management, Shipping, and Finance to finalize pricing and freight costs
Ensure payments are received and verified before processing orders
Samples, Prototypes & BOM Requests
Process sample requests (with and without BOM numbers)
Coordinate prototype and development orders
Ensure correct documentation, scheduling, and shipment of samples and prototypes
After-Sales Support (RAN/CAR Process)
Process RANs, CARs, and warranty replacements
Coordinate credit and debit notes with Finance
Communicate outcomes and resolutions to customers
