We are looking for a

Customer Liaison Officer

to join our team. This is a key role that ensures smooth day-to-day operations by providing

administrative, financial, and customer support services

across orders, debtors, inventory, and client communications.



As the face of our business, you'll engage directly with clients and staff, ensuring excellent service delivery while supporting internal processes. From managing invoices and job cards to coordinating suppliers and logistics, you will play an integral part in keeping our operations efficient and client-focused.

Minimum Requirements



Qualifications & Experience:



Matric certificate or equivalent (minimum). Previous experience in administration, customer service, or operations is advantageous. Familiarity with debtors, inventory, or CRM systems is a strong advantage.

Duties and Responsibilities



Key Responsibilities:



Administrative Duties


Maintain and update daily task lists. Prepare insurance letters as requested. Manage bookings in and out of reports (if not completed by technicians). Capture new clients and products on the sales platform. Update and maintain the marketing customer database.

Financial & Debtors Management


Distribute invoices and send them to clients. Follow up on outstanding payments. Assist clients and staff with account and payment queries.

Order & Service Management


Load orders for invoicing and send invoices upon completion. Update service sheets to track repairs and outstanding job cards. Log job cards and ensure closure once work is completed.

Customer & Staff Support


Prepare quotations for staff and clients. Liaise with customers to confirm and reschedule appointments. Provide general support and respond to queries from clients and staff.

Inventory & Supplier Coordination


Request and manage quotes for spares from suppliers (Genop, Medequip, Essilor, etc.). Allocate stock for installations and record serial numbers. Verify and check serial numbers upon arrival of shipments.

Logistics


Coordinate courier services when required.

Key Competencies:



Strong organizational and multitasking abilities. Excellent verbal and written communication skills. High attention to detail and accuracy. Proficiency in Microsoft Office Suite, Syspro and sales/marketing platforms. Ability to work independently while contributing to team success. Problem-solving mindset with a customer-focused approach.

Flexibility:



Additional functions and or duties may be required in addition to those listed above.
