Role Summary:

A career in operational and administrative management will give you the opportunity to provide support to PwC Partners and Staff. This role has evolved over the last decade from an administrative role to a technical management function.

This role involves providing support in the management of the teamxe2x80x99s operations on a day-to-day basis. This includes support in the areas of finance management (at project and team level), staff planning, HC assistance and management of processes and timelines which impacts the compliance of the team as a whole.

Youxe2x80x99ll focus on using business software applications to fulfil your role which will include preparing reports, receiving and directing incoming calls and emails to the appropriate parties, arranging business travel, tracking expenses, coordinating meeting arrangements and engagement assistance.

Qualifications / Certifications required:

Tertiary education with appropriate qualification (preferred) or previous experience in an operational support role

Experience required:

Experience in a professional firm environment with a focus on operational and administrative management to a large team.

Responsibilities of role:

Staff planning

Support staff and project resourcing through establishing appropriate relationships with staff at all levels within the division. Daily liaison with partners, managers and staff in the division, as well as other divisions and offices within the firm, regarding all staff planning related matters.

Prompt resolution of staff clashes and where necessary schedule and/or facilitate meetings to reach a resolution

Managing staff availability and, in so doing, ensuring productivity is maximised

Share forecast staff availability monthly with the division

Schedule and run quarterly Talentlink meetings, including noting actions and closing them out with respective individuals

Updating resourcing with ad hoc events such as group social activities and training

Assist with importing of staff from other local offices to fill needs (sourcing staff and managing logistics)

Be central staff planner contact point for CTOne

Make decisions and influence managers on staff resources depending on department needs and objectives

Finance

Manage time and expense sheets compliance

Process internal costs transfer and invoice requests (incl credit notes)

Process time and expense sheets for specified individuals in the department

Manage debtors proactively by following up with the relevant managers on outstanding debt

Operations and people management

Arrange business travel (flights, accommodation, car hire etc)

Schedule meetings, prepare agendas and record minutes

Coordination of general office housekeeping including maintenance

Organising team events and functions, including team lunches and dinners for overtime teams and making decisions on function venues, activities etc based on budgets

Support for other department processes such as recruitment, CSR, quality control and maintenance and client services

Updating Partner profiles and documentation on MyDisclosure

Supplier management and payments

Assist Partners with IRBA and CPD declarations

Pulling and preparing reports to deal with compliance matters

Deciding on appropriate recourse for non-compliance with firm policies

Business development

Collating publications/events released by the firm monthly (thought, leadership, legislative etc) for distribution

Setting up meetings with targets/networks for each partner/AD and collate feedback from these meetings on a monthly basis

Monitoring growth tracker and dashboards. Sending summaries and updates to growth team for distribution to wider group on a monthly basis

Ensuring managers and partners are actively pursuing targets through follow ups

Maintaining growth reporting such as alumni lists
