Kelvin Grove Club is currently seeking a dedicated and experienced
Conference and Banqueting Duty Manager
to join our dynamic team to ensure the smooth management of the Functions & Events Department through effective planning, staff supervision, and service excellence. The role involves the coordination and execution of Club and private functions while maintaining high operational and service standards.
KEY RESPONSIBILITIES
Functions & Service Operations:
1. Oversee daily setup and management of allocated functions
2. Liaise with hosts and ensure their requirements are met
3. Ensure the correct ambiance, room setup, and guest experience
4. Attend and supervise events to maintain service quality
5. Handle guest complaints promptly and professionally
6. Review feedback to improve service delivery
7. Ensure post-function breakdown and lock-up procedures are correctly followed
8. Ensure leftover food is stored hygienically
9. Knowledgeable on all Club facilities and event spaces
10. Collaborate with kitchen for menu execution and flow of service
11. Ensure correct processing of revenues and that outlets are cashed up
Stock Control:
1. Oversee stock ordering, issuing, transfers, and reconciliation for function bars
2. Maintain accurate bar books: record opening and closing stocks per event
3. Conduct weekly/monthly stocktakes
4. Ensure bar areas and fridges are clean, neat, and compliant at all times
5. Implement controls and systems to avoid wastage or mismanagement
6. Provide reports and documentation as required for financial review
Staff Management:
Supervise Banqueting floor staff
Ensure punctuality and correct allocation of duties
Conduct regular on-the-job training and mentor junior staff
Promote upselling and guest engagement
Maintain hygiene and service standards through regular monitoring
Address staff issues through appropriate channels and procedures
Conduct one-on-one meetings with supervisors as required
Ensure conditions of employment and disciplinary procedures are upheld
Financial Control:
Ensure accurate revenue recording and cashing-up procedures
Irregular Duties:
Assist with duties or responsibilities as and when needed
Support operations or any other Club functions as required
QUALIFICATIONS & MINIMUM REQUIREMENTS
Education
Minimum required Grade 12 or equivalent
Tertiary Qualifications
Diploma or certificate in Hospitality, Hotel Management, or a related field is an advantage.
Experience
Minimum of 3 years' experience as a Banqueting/Functions Duty Manager or similar.
Formal training in Hospitality (preferred)
