JOB PROFILE SUMMARY INFORMATION Role name: Building Manager Department: Operations Reporting to: Portfolio Manager Date developed: 31 May 2023 Job purpose: To manage the revenue and expense management, tenant, building, people and reporting within the Operations department. Position within the organisation: Portfolio Manager Building Manager Public Relation Officer General Worker Maintenance Worker KEY PERFORMANCE AREAS AND ACTIVITIES Key performance areas: Job output: 1. Building Management To maintain a clean and safe building by conducting daily building checklists for cleaning, maintenance, and security, identifying areas of risk and areas that require cleaning and supervise cleaning and security actions daily.

  • To maintain building by identifying maintenance issues, logging, and reporting all communal area repairs and maintenance issues onto On Key, following up on maintenance and facilitating maintenance being implemented daily.
  • To maintain work order turnaround time by inspecting maintenance work completed, reviewing, and closing work orders on On Key daily.
  • To adhere to the companyxe2x80x99s health and safety policies and procedures by identifying health and safety issues and reporting these matters on On Key daily.
  • To maintain the lifts integrity and uptime by regularly inspecting lifts and immediately reporting and logging faults on On Key and to the PM as required.
  • To maintain the security systems of the buildings (access control equipment
& CCTV equipment) by checking their functioning, logging, and reporting any defects onto On Key and by making sure staff apply the companyxe2x80x99s access control policies as required.
  • To maintain and safeguard consumables, equipment & tools used by staff by issuing in line with requirements and securing goods daily.
  • To manage maintenance tool issue and care by managing that quality tools and equipment are issued, managing that daily tools stock checks are completed, staff care for tools and that only wear, and tear tool replacements are issued at the companyxe2x80x99s cost at all times.
  • To manage and complete the tool stock inspection/checklist, enforcing accountability where items are not returned.
  • To safeguard the building by administering the key system and tracking and securing keys in line with the key policy daily.
  • To provide status and emergency feedback by understanding the situations and providing feedback to the PM and operations team weekly and as required
  • To communicate CID issues by reporting incidents to CIDxe2x80x99s and Urban
Managers and participating in meetings monthly and daily.
  • To update the suspended units, report by identing applicable units for action
(suspension and/or unsuspension) and providing information to the PM daily
  • To prepare all vacant flats by inspecting them, addressing maintenance requirements, cleaning the units, and reporting RTL flats timeously
  • To manage the month-end change over, restoration of vacant unit and occupied unit maintenance resourcing and delivery by managing that planning has been completed, internal and external maintenance teams have been allocated to complete maintenance and quality review has been completed on all work done by deadline.
  • To increase letting sales by assisting walk in clients, submitting their referral details to Letting/Sales and assisting with viewing and pricing information daily.
  • To draft reports by collecting information, completing reporting templates and submitting as required
2. Tenant Management To conduct the necessary checks when new tenant moves in by issuing keys as per key slip, performing in inspection with tenant present and recording any defects and assisting tenant to download MEL application as required.
  • To assist tenants with maintenance feedback by logging maintenance work orders, coordinating the availability of Facilities to perform maintenance and giving regular feedback on progress as required.
  • To provide tenants with connectivity by assisting tenants to access internet networks and logging and reporting faults as required.
  • To administer house rules and action tenant transgressions.
  • To administer tenant education by referring tenants to tenant guides,
FAQxe2x80x99s and customer support channels as required.
  • To administer tenant complaint resolutions by attending to escalated tickets on the CRM systems, understanding the issues, resolving the issue, and providing feedback to tenants as required in a reasonable timeframe.
  • To communicate professionally with tenants by understanding their issues and communicating and corresponding in a professional manner as required.
  • To retain tenants by understanding the tenants needs and proposing retention strategy (transfer down/up or lease renewal with temporary reduced rental) as required.
  • To administer accurate out inspections with vacating tenants present with in the 48 hours window period.
  • To draft reports by collecting information, completing reporting templates and submitting as required
3. Team Supervision To oversee the general workers and PROs by allocating work and following up on work done, identifying areas of concern, and addressing it with the relevant staff daily
  • To administer the staffing resourcing by communicating staff requirements to the PM, interviewing shortlisted candidates, and coordinating the appointment with HR as required.
  • To coordinate team compliance by monitoring compliance with policies and procedures, inspecting occurrence books and cleaning registers twice daily and escalate incidents to PM as required.
  • To update leave records by recording staff and leave applications on the HR payroll solution as required.
  • To report injuries on duty and incidents by completing incident reports and any injuries on duty forms and reporting to HR and PM as required.
  • To assist with disciplinary action by issuing warnings as per the disciplinary matrix and assisting the PM and HR with gathering evidence as required.
  • To administer the staff training by working closely with HR, participating in training when required, assessing training needs, and making recommendations regarding training for staff as required.
4. Revenue & Expense To administer the collection of rentals by distributing statements, Management following ups with tenants, and implementing collection procedures as per collection policy daily
  • To place orders or request services by supervising use of stock, monitoring stock levels, assessing stock required and placing orders as required,
  • To identify leaks and breaches by inspecting water and electricity meters, identifying areas of concern, and coordinating maintenance and correction monthly.
  • To conduct parking audits by physically checking the parking occupancy vs parking tenancy on the system and reporting variances weekly.
5. Stock Purchasing and To plan maintenance stock purchasing by developing the stock buying plan for Inventory Management the month, submitting for approval with PM.
  • To reconcile purchase orders by reviewing purchase orders, investigating the status of supply and implementing corrective action as required.
  • To manage monthly stock counts by managing the stock count, reviewing stock count reports, and addressing discrepancies monthly.
  • ROLE REQUIREMENTS:
Qualifications: NQF 4 essential Functional experience: 5 yearsxe2x80x99 experience as a property caretaker is essential Management experience: 3 yearsxe2x80x99 experience in manging cleaning and security staff IT software knowledge: Word Excel Power Asset Care SharePoint Customer Point Management Support System System Basic Basic No Basic Basic Basic KEY RELATIONSHIPS Internal: Management
