Job Description

The Role



The purpose of this junior position is to be the operational heart of our clients' Bed and Breakfast, ensuring a seamless and memorable experience for our guests from initial inquiry to departure. This multifaceted role is responsible for managing all bookings, providing warm and efficient guest service.


KEY RESPONSIBILITIES:





Guest Bookings & Reservation Management:


Manage all bookings on NightsBridge, Process reservations, modifications, and cancellations accurately and promptly. Maintain the property management system or booking calendar, ensuring it is always up to date. Respond to guest inquiries and provide detailed information about the B&B, local attractions, and services. Prepare and send pre-arrival information to guests.

Room Coordination & Inventory Management:


Manage the daily room allocation sheet, coordinating closely with the housekeeping team. Conduct daily checks to ensure all rooms are prepared to the correct standard before guest arrival. Manage the room status (e.g., clean, occupied, out-of-order) in the system and communicate updates to relevant staff.

Guest Services & Relations:


Greet guests upon arrival with a warm and friendly demeanour, facilitating a smooth check-in and check-out process. Be the primary point of contact for guests during their stay, handling any queries, requests, or issues promptly and professionally. Provide exceptional customer service, aiming to exceed guest expectations and encourage positive reviews. Monitor the common areas to a high standard of presentation and cleanliness.


Skills and Experience

SKILLS & EXPERIENCE:



Matriculation with a formal qualification in hospitality and administration an advantage. Driver's license. Knowledge of the local area and tourist attractions. Flexibility to work weekends as required or early/late hours as required by guest check-ins/outs. Proven hospitality experience in an administrative, receptionist, or guest-facing role. Competency with MS Office (especially Excel/Sheets for basic spreadsheets) together with NightsBridge. Excellent verbal and written communication skills. Outstanding customer service ethos with a friendly, patient, and professional manner. Highly organized, with the ability to multitask and prioritize. A proactive problem-solver with a keen eye for detail.

Personable & Welcoming: You are the face of the B&B and must create a positive first and last impression. Trustworthy & Discreet: You will handle guest data and financial information with utmost confidentiality. Resourceful: Able to think on your feet to resolve guest issues effectively. Calm Under Pressure: Remain professional and efficient during busy check-in/out times or when dealing with challenges.
