Associate Administrator: Credentials Office

Job Description

This permanent position is available in the Credentials Office, within the Examinations and Credentials Department, based at the Johannesburg Office. The role supports management in ensuring the efficient operation of the department by providing administrative support and operational coordination. It also involves effective data management, verification of candidate credentials, report preparation, tracking of deadlines, and ensuring that tasks are completed on time. Furthermore, the role requires clear and professional communication with clients and external stakeholders to address inquiries, provide information, and maintain positive relationships. The incumbent must ensure adherence to company policies and assist with the implementation of new protocols.

Key Performance Areas:



Reception:

Front-Desk & Visitor Services Register and direct visitors to the correct office or staff member, maintaining a visitor log if required. Manage arrival and departure of visitors in accordance with security/access procedures. Assist with meeting venue bookings, set up arrangements (equipment, refreshments) and notify attendees. Ensure the reception/waiting area is clean, presentable and stocked with relevant information Answer and route incoming telephone calls, take and relay messages. Receive, sort and distribute incoming mail/courier deliveries; prepare outgoing mail as required. Issuing of certificates to doctors. Maintain an effective record management and filing system.
General Administrative Support:

Assist with basic database or electronic records updates Monitor and order front-office supplies Managing academic registrar mailbox Coordinating the verification process of candidate credentials. Provide detailed report to the relevant verification bodies. Maintaining a database of the verification and credential process. Provide visa letters for doctors that are studying abroad. Issue academic transcripts upon request. Updating the Head of Department and Dean's list on a yearly basis Communicating to all candidates for collection of certificates Assist with admission ceremonies Preparation of all scrolls for all venues as well as receiving of all gowns for admission ceremonies Assist with Ad hoc administrative tasks as and when required
Examination:

Assist as required with candidate photo cropping Assist in the preparation of candidate examination card and certificates. Excellent interpersonal and telephone communication skills; courteous demeanor. Good written and verbal English; ability to draft basic correspondence Multitasking and prioritizing Project Management Exceptional Microsoft Office skills Problem-solving Ability to handle confidential information with discretion and integrity. Professional appearance and attitude, dependable, high sense of service, reliable. Ability to work under pressure Attention to detail Adaptability
