Admin & Compliance Assistant – Nursing Division

Job Description

Recruitment Agency in Cape Town in need of a Compliance Assistant to provide administrative and compliance support to the Nursing Division by ensuring that all nurse files, documentation, and timesheets are accurate, compliant, and up to date. The role involves liaising with hospitals, clinics, and nurses to collect outstanding data, resolve queries, and maintain smooth day-to-day operations within the division.

  • Compliance Administration
  • Collect and verify all required compliance documents from nurses (e.g. SANC registration, ID, vaccination records, CPR certificates, police clearance, etc.)
  • Track document expiries and follow up for renewals in advance.
  • Maintain accurate and current digital nurse files on the Sift Hub system.
  • Ensure all nurses meet client and internal compliance standards before deployment.
  • Timesheet & Payroll Queries
  • Receive, check, and capture nurse timesheets daily/weekly.
  • Liaise with hospitals and clients to resolve discrepancies in hours worked or authorisation.
  • Ensure signed timesheets are received within required cut-off times for payroll processing.
  • Communicate any missing or incorrect timesheets to consultants promptly.
  • Assist with requests from Nurses for Payroll information, UI 19 Requests, IRP 5 Requests, Payspace additions, and Confirmation of employment
  • Assist with sending Workforce Dimensions Schedules
  • Loading of Leave forms and send to Team Leader for approval.
  • Data Collection & Reporting
  • Maintain updated lists of active, pending, and non-compliant nurses.
  • Assist consultants with information requests or report generation (e.g. compliance trackers, placement lists).
  • Capture and update data accurately on CRM or internal tracking systems.
  • General Administrative Support
  • Assist with onboarding new nurses (forms, system setup, induction packs).
  • Help prepare client compliance submissions and audits.
  • Support the Nursing Recruitment Team with ad-hoc admin tasks as required.
Skills & Attributes
  • Strong attention to detail and accuracy
  • Excellent communication skills (written & verbal)
  • Confident liaising with nurses and hospital administrators
  • Organised, deadline-driven, and proactive
  • Comfortable working under pressure with high volumes
  • Good computer literacy (Excel, Word, email, database systems)
Minimum Requirements
  • Matric (Grade 12) essential
  • Previous experience in a healthcare, nursing, or recruitment admin environment preferred
  • Strong administrative and data management background
  • Experience handling compliance or document verification an advantage
