Job Advert Summary




Perform work involving clerical functions relating to the requirements of the maintenance section. Duties may involve time keeping, taking minutes, budget, non-stock orders, liase with suppliers, overtime authorizations, and relevent documents as and when required.

Minimum Requirements




Grade 12/ Administration Diploma,



1-2 years relevent experience.



Computre literacy required (MS Word, Power Point, Excel and excellent e-mail ethics).



Good organisation skills.



Comprehend English (Fluent in reading, writing, speaking and understanding).



Basic knowledge of general hygien practices.



Excellent time keeping skills.



Be able to work under pressure.



Working overtime when required.



HACCPknowledge.



Drivers licence,

Duties and Responsibilities




Control gate registers and time sheets. Time attendance.



Leave and absenteeism - Control the leave book and make sure staff complete documentation, sign off by HOD and submit documents to HumanResources / Admin.



Check and scrutinize the water & electricity usage on a daily basis and maintain the integrity of the Excel file.



Overtime work schedules and authorization documentation to be completed, submitted and filed accordingly.



PPE documentation - 3 monthly checks



Pass-out book control and update register regarding equipment / assets leaving and returning to site.



Pass-out book control for Waste Feather Meal and scrap, etc.



Keep file on weighbridge documents for Waste Feather Meal and coal ash and scrap that is sold.



Utilize Syspro to create requisitions, obtain authorizations, create purchase orders and send out to suppliers. GRN all orders/invoices where equipment has been received and forward relevant documentation to the finance section.



Keep record of all back-orders and obtain credit notes from suppliers if the need arises.



Complete relevant documentation for Capex purchases and maintenance costs that exceed the specified amount for authorizations that are required from Head Office.



Maintain a budget in Excel for all orders placed with suppliers for stock and non-stock items.



Compile end-of-the-month figures regarding water, electricity and efficiency and send them out to recipients via email.



Petrol books - Receive from staff and submit them to Human Resources/Admin.



Presentation documents at PowerPoint at the end of each month populated with data that is relevant to the maintenance department.



Minutes of meetings to be taken down and filed accordingly.



Be able to operate Windows software, such as MS Office, Syspro and Pragma software packages.



Maintain and update the maintenance section Action List.



Other relevant duties assigned.
