Key Responsibilities
Provide administrative support across departments
Handle general maintenance issues and minor repairs
Maintain confidentiality and sensitivity of company information
Perform ad hoc tasks as assigned by management
Manage the front desk and ensure smooth day-to-day operations
Reception & Administrative Support
Welcome and assist visitors
Answer incoming calls and emails professionally
File, copy, and organize company documents
Maintain up-to-date office and asset records
Create and manage office templates
Ensure company vehicle licence discs are renewed on time
Oversee vehicle maintenance and servicing
Manage refueling and recharging of company vehicles and forklifts
Order and manage office supplies
Record and track bank expenses
Process end-of-month expense payments
Apply for credit insurance for clients
Attend insurance-related meetings
Send monthly aging reports to the insurance provider
Keep attendance records up to date
Request and follow up on client payments
Report maintenance issues promptly
Sales & Aftersales Support
Prepare invoices, sales quotes, and delivery notes
Assist with client quotations
Process aftersales invoices and quotes
Perform daily bookkeeping and financial reconciliations
Create customer receipts on Sage
Compile and distribute daily sales reports
Requirements
Minimum
2 years of administrative experience
Proficient in
Sage Accounting Software
Strong organizational and multitasking skills
Excellent communication and interpersonal abilities
Attention to detail and accuracy
