We are seeking a detail-oriented and experienced Accounting Specialist to manage daily financial operations, ensure compliance with tax regulations, and support leadership with accurate reporting. This role requires strong expertise in QuickBooks Online and a proven ability to work independently while safeguarding the company's financial interests.
Responsibilities
Accounts Receivable

• Reconcile customer payments and apply them to the correct invoices
• Monitor aging reports and follow up on overdue or short payments
• Maintain accurate records of receivables for leadership visibility

Accounts Payable

• Review and code incoming bills and vendor invoices
• Schedule and process payments based on cash flow priorities
• Ensure all obligations are paid accurately and on time

Tax Filings & Compliance

• Prepare and submit payroll-related and business tax filings
• Respond to tax authority communications as needed
• Ensure compliance with U.S. tax regulations and filing deadlines

Cash Flow & Reporting

• Monitor and project cash flow, adjusting payments or collections when necessary
• Prepare regular updates on cash position, outstanding receivables, and upcoming obligations
• Document processes and note irregularities for leadership review

General Accounting Support

• Provide guidance to team members regarding expense coding and budget tracking
• Maintain organized records of transactions, reconciliations, and filings
• Ensure overall accuracy and integrity of financial data in QuickBooks Online

You are an experienced accounting professional with a strong command of QuickBooks Online and proven success managing both accounts receivable and accounts payable. You thrive in maintaining accuracy under deadlines, have a sharp eye for detail, and understand the importance of cash flow management. You are comfortable working independently, navigating challenges without hesitation, and ensuring compliance with U.S. tax requirements while keeping financial operations running smoothly.
Required Experience & Skills

• Minimum of 3 years of hands-on experience with QuickBooks Online
• Strong bookkeeping and reconciliation skills
• Experience handling U.S. accounts receivable and payable
• Familiarity with U.S. tax filings and compliance
• Ability to manage cash flow and prepare projections
• High attention to detail and organizational skills
• Strong communication and problem-solving abilities
• Reliable self-starter able to work independently with minimal oversight

What Does a Typical Day Look Like?
A typical day for the Accounting Specialist involves reviewing overnight bank and credit card transactions in QuickBooks Online, reconciling customer payments, and ensuring invoices are applied accurately. Throughout the day, you will manage accounts receivable and payable by coding vendor invoices, scheduling payments based on cash flow priorities, and updating aging reports for leadership. You will also prepare and file tax forms, respond to inquiries from vendors, customers, or tax authorities, and provide guidance to the team on expense coding and budget tracking. As the day progresses, you will monitor cash flow projections, address any discrepancies, and document processes for leadership review. By the end of the day, you will perform a final reconciliation and provide leadership with a brief update on cash position, outstanding receivables, and upcoming obligations, ensuring the company's financial operations remain accurate, compliant, and on track.
