Operations/Workshop Manager Rent to Own Business with a fleet of 700 vehicles

Key Responsibilities
1. Fleet Management
Oversee the maintenance, repair, and servicing of a 700-car (and growing) fleet to ensure all vehicles are roadworthy and meet quality standards.
Develop and manage preventative maintenance schedules to minimize vehicle downtime.
Ensure vehicles are prepared and delivered on time to meet customer bookings and reservations.
Monitor fleet utilization and recommend strategies for optimization and efficiency.
Communicate downtime to sales team with accurate deadlines on availability to optimize rental income.
2. Workshop Management
Supervise daily operations of the workshop, ensuring quality control and adherence to deadlines.
Manage a team of technicians, mechanics, and support staff to deliver timely and effective repairs.
Establish and maintain standard operating procedures for repairs and maintenance.
Source, negotiate, and manage relationships with suppliers for parts and materials.
Conduct regular audits of tools, equipment, and safety standards in the workshop.
Workshop cleaning culture to be adhered to and managed at all times
Workshop shifts and overtime to be managed
Communicate with service advisors, approve job cards and parts
Communicate with clients when required
3. Administrative Duties
Maintain accurate records of all repairs, maintenance, and servicing activities.
Monthly/weekly reports on all vehicle malfunctions and panel shop performance report
Manage all maintenance and repairs related expenses
New/For sale vehicles to go through Roadworthy, major service and fitment of tracking units
Inspect job cards and ensure accurate fitment of all parts
Make use of Google sheets and platforms to update vehicle status
Accurate deadlines and client information to be communicated via platforms
4. Customer Service
Collaborate with the customer service team to address vehicle-related issues promptly.
Ensure vehicles meet customer expectations in terms of cleanliness, functionality, and appearance.
Ensure all vehicles are on time for collection
Manage all loan units and ensure good record keeping
5. Roadside Assistance
Carry the 24-hour roadside assistance telephone, attend to all calls and assist clients with queries and malfunctions.
Send out the technician on standby to attend to vehicle malfunctions, ensure technician is:
o On time
o Dressed well
o Prepared with all parts required to ensure a good repair
Occasionally attend to malfunctions with technicians to monitor behavior, client experience and technician overall performance
Manage the process of vehicle and part handover on a weekly basis
Ensure roadside assistance vehicle is maintained and serviced on time, no downtime can be afforded
Vehicle exchanges due to malfunctions to go through the "vehicle exchange procedure"
In case of major accidents attend the accident scene and write reports for future reference.
6. Parts Department
Oversee parts departments
Sign off all big orders
Be part of the monthly stock takes to ensure accuracy
Ensure parts department is kept neat and tidy at all times
Build healthy relationships with suppliers
Manage part turn around times to minimize down time
7. Requirements
5 Years hands on management experience, proven record of management history
Mechanical knowledge
Strong administration skills
Presentable with good communication skills
Qualification in either management or qualified as a mechanic will be beneficial
8. Technical Skills
Strong knowledge of automotive mechanics, diagnostics, and maintenance processes
Proficient in fleet management software and workshop management tools.
Ability to use the "Launch" machine
9. Soft Skills
Excellent leadership and team management abilities.
Strong problem-solving skills and attention to detail.
Ability to work under pressure and meet tight deadlines.
Effective communication and interpersonal skills.
Create and maintain a healthy working culture
Effectively manage cleaning of the workshop
10. Key Performance Indicators (KPIs)
Fleet availability rate.
Maintenance and repair turnaround time.
Quality control pass rate for vehicles.
Cost efficiency of workshop operations.
Monthly vehicle malfunction ratio.
On time vehicle availability.
11. Remuneration
R25 000.00 to R40 000.00 per month depending on experience
Limited fuel allowance
