We're a small but mighty marketing agency that works exclusively with dentists.
Based out of Charlotte, North Carolina, we help dental practices grow through smart, effective marketing strategies - everything from direct mail and digital ads to SEO and social media. Right now, we're growing fast and working toward hitting our first million-dollar year, and we're building a team that's ready to scale with us.
I've got a solid crew in place: an account manager, a direct mail specialist, a part-time social media person, and an assistant.
We also work with some amazing freelance PPC and SEO pros.
But now, I need someone who can really take ownership of the operations side - someone who's driven by systems, efficiency, and making sure everything runs like clockwork.
We're looking for an Marketing Operations Manager who thrives on solving problems, building systems, and making teams work better together. You'll help us streamline our agency's operations, build strong internal systems, and keep everything running smoothly - without needing to be hand-held along the way.
In this role, you will:
?? Develop, document, and optimize internal workflows and processes
? Oversee client projects to make sure they're on time and within budget
? Track profitability, manage budgets, and oversee invoicing
? Coordinate with our team, assign tasks, and track performance
? Support marketing campaign planning and execution
? Track KPIs, analyze data, and provide reports
? Manage relationships with clients and vendors, including contracts
??? Help with hiring, onboarding, and training team members
?? Implement software tools and automations to improve efficiency
? Build out org charts and scalable systems for future growth
Working Hours ?: This is a full-time position with some flexibility, but you'll need at least 4 hours of overlap with my mornings (I'm in U.S. Eastern Time).
Requirements
To excel in this role, you need to have:
? 3+ years in marketing operations experience
? Experience managing projects, budgets, and deadlines
? Proven skills in developing workflows and automations
? Solid understanding of budgeting, invoicing, and reporting
? Leadership experience: delegation, coaching, and performance tracking
? Analytical thinking with a data-first mindset
? Strong tech skills (CRM, project management tools, automation software)
? Super organized, detail-focused, and reliable
? A great communicator who's proactive and independent
Brownie points for:
? Bachelor's degree in business, marketing, or related field
? Experience in small, remote marketing agency setups
? HighLevel marketing certification
? Google Analytics, Google Ads, or Meta Ads certification
? Experience using ClickUp (or similar project management tools)
