Job Description

Job Purpose:



The Tranche Administrator is responsible for managing the disbursement and tracking of tranche payments for funded projects. This role involves ensuring that payments are processed accurately and in a timely manner according to the terms and conditions of grant agreements or contracts. The Tranche Administrator collaborates with project managers, finance teams, and funding bodies to monitor compliance with financial guidelines, maintain accurate records, and provide regular reports on the status of tranche disbursements.

Duties and Responsibilities



Project Coordination:



Assist in the planning, scheduling, and coordination of project activities.

Monitor project timelines and milestones, ensuring adherence to established deadlines.

Track project progress and provide regular status updates to project stakeholders.

Facilitate effective communication between project teams, departments, and stakeholders.

Collaborate with project managers to ensure project objectives are met.

Administrative Support:



Organize and maintain project documentation, including contracts, agreements, and project plans.

Prepare project-related reports, presentations, and correspondence as required.

Schedule and coordinate meetings, workshops, and project-related events.

Take meeting minutes and distribute them to project team members.

Assist in budget tracking and expense management for assigned projects.

Documentation and Reporting:



Maintain accurate and up-to-date project files, records, and databases.

Generate regular project status reports, highlighting key metrics, risks, and issues.

Compile project data and assist in the preparation of project evaluation reports.

Ensure compliance with organizational policies and procedures in project documentation.

Grant Program Management:



Develop and implement grant program guidelines, policies, and procedures in line with organizational objectives and regulatory requirements.

Conduct research and stay updated on industry best practices, trends, and changes in grant funding regulations to optimize program effectiveness.

Collaborate with key stakeholders to identify grant funding opportunities and align them with organizational priorities.

Evaluate grant proposals and applications, ensuring adherence to eligibility criteria and evaluating their alignment with program goals.

Monitor the progress of grant-funded projects and provide guidance to grantees as needed to ensure timely and successful completion.

Reporting and Evaluation:



Prepare regular reports on grant program performance, including financial status, progress, and outcomes achieved.

Collaborate with the Evaluation team to develop and implement monitoring and evaluation frameworks for grant-funded projects, ensuring compliance with reporting requirements.

Analyze and interpret data to identify trends, successes, challenges, and areas for improvement, and provide recommendations to enhance program effectiveness

Qualifications



Tertiary qualification will be to your advantage.

Computer literacy - Microsoft Office Word, Excel and Outlook

Work experience



2 - 4 years of experience directly related to the duties and responsibilities specified

Personal abilities



Proficiency in Microsoft Office Suite

Professional attitude and appearance

Solid written and verbal communication skills

Ability to be resourceful and proactive when issues arise

Excellent organizational skills

Multitasking and time-management skills, with the ability to prioritize tasks

Customer service attitude
