Will be responsible for managing the administrative aspects of the bidding process, compiling and formatting bid documents, coordinating with various teams and clients, ensuring timely submissions, maintaining tender registers, and archiving all related documentation. Responsible for the smooth execution of the tendering process from start to finish, ensuring that submissions are of high quality and meet all requirements and deadlines.
Duties & Responsibilities
Tender Sourcing & Management:
Identify and source new tenders on various platforms, including client websites, online tenders and e-tender portals.
Register and track all incoming tenders and bid opportunities
Monitor and manage tender deadlines to ensure timely submissions
Keep track of closing dates on tenders and ensure all tender closing times are met
Documentation & Formatting:
Prepare, collate, and compile tender documents, ensuring completeness and adherence to format requirements
Complete bid application forms and standard election questionnaires and populate
Ensure the high quality and standard of bid applications and supporting materials
Coordination & Communication:
Coordinate with project teams, Finance and technical departments, to gather necessary information and input
Liaise with clients and vendors to facilitate communication throughout the bidding process
Manage and distribute internal and external tender correspondence
Manage the tender office mailbox, ensuring all emails are read, actioned and responded to
Manage and distribute all tender related information between internal and external parties for the company
Assist with tender related enquiries from internal and external parties for the company
Record Keeping & Reporting:
Maintain an up-to-date tender register and provide progress reports on submitted tenders
Keep an organized archive of all tender related documentation for future reference
Provide updates and maintain the status of commercial documents like tax clearance and BEE certificates
Compile weekly tender reports and communicate with all parties where required
Administrative Support:
Provide general and administrative support to the senior staff
Organize and schedule meetings and attend bid briefing sessions
Desired Experience & Qualification
Above average computer literacy in MS Word, Excel, Outlook and PowerPoint
Ability to work with numbers and complete basic calculations

Desired Experience & Qualification
Grade 12 (minimum)
A tertiary degree/diploma in Business Administration, Sales, Marketing or construction will be advantageous
1 year Tender Administration experience
