to help us manage and collect important documents from our subcontractor team. This role is key in keeping our subcontractor files up to date and ensuring we follow all legal and company requirements.
Key Responsibilities
Review subcontractor files in our system
Ensure each subcontractor has submitted the required documents:
Full name and address
Social Insurance Number (SIN) or GST number
Liability insurance
WCB or WorkSafe coverage
Signed compliance agreement
Search internal systems (HubSpot, Monday.com, SignNow) for missing documents
Call or email subcontractors to follow up (templates/scripts provided)
Assist subcontractors in obtaining necessary documents (e.g., insurance, WCB links)
Upload and organize compliance files
Set reminders and follow up to ensure timely submissions
Mark subcontractors as compliant once all documents are received
Escalate non-compliance issues or missed deadlines

Exceptional attention to detail
Friendly, professional communication skills
Comfortable making calls and sending emails
Strong organizational skills and ability to manage tasks independently
Familiarity with tools such as Monday.com, HubSpot, Google Drive (training provided)
Background in admin, compliance, or contractor support is an asset
