The Stores Coordinator manages inventory, stock, and equipment fitment within the Equipment Department. Responsibilities include overseeing procurement, quality checks, spray painting, vehicle readiness, and maintaining accurate stock control systems. This role also supports workshop operations and ensures compliance with safety standards.
Key Responsibilities
Stores & Inventory Management
Receive and inspect goods, maintain stock levels, and conduct regular stock takes.
Keep inventory systems up-to-date and manage a clean, secure store area
Procurement & Order Coordination
Place orders, obtain management approval, and track deliveries.
Issue stock to the team and monitor consumption.
Vehicle Fitment Coordination
Inspect vehicles, prepare job cards, and manage compliance components (fire extinguishers, isolators).
Coordinate spray painting and ensure parts meet quality standards.
Stock Control Workflow Oversight
Allocate stock to the welding team, track consumables, and ensure job completion.
Reporting & Documentation
Maintain logbooks, report discrepancies, and submit monthly stocktake figures.
Provide performance reports on fitment timelines and procurement.
Team & Workflow Management
Coordinate with welders, apprentices, and drivers to ensure job progress and meet deadlines.
Escalate any issues to the HOD or Managing Director.
Quality Assurance
Perform final quality checks and ensure vehicle compliance before delivery.
Workflow Process Overview
Receive orders, confirm quotes, inspect vehicles, allocate jobs, and track progress.
Ensure timely completion, quality inspection, and customer sign-off.
Stock Reconciliation
Track and update stock records, ensuring accuracy.
Driver Coordination
Provide clear instructions for collections/deliveries and sign off on trip sheets.
Performance Management
Performance is evaluated based on stock control accuracy, order processing, customer satisfaction, and workflow adherence.
Quarterly reviews assess improvements, training, and operational goals.
