1. Collate equipment and vehicle acquisition information and ensure regular upkeep of equipment and vehicles to allow efficient operation of projects
1.1. Research equipment and vehicle purchasing options based on the Company's demand and need (e.g., prices, leasing vs owning, vehicle features, trends, etc.)
1.2. Bid or negotiate with sellers to ensure best purchase outcomes
1.3. Explore selling off and disposing of used equipment and vehicles. Oversee the negotiation and transactions in order to minimise any loss to the Company
1.4. Perform vehicle registration, insurance and CHP formalities and documentation
1.5. Monitor and ensure equipment and fleet operation is legally and procedurally compliant
1.6. Ensure work readiness by inspecting all equipment and vehicles
1.7. Create and follow a strict maintenance schedule and database (e.g., servicing or repairs, replacements, etc.)
1.8. Secure depot property and vehicles by developing security and access policies and procedures; coordinating patrols with security department and maintaining physical and electronic records
2. Review, prepare and manage Fleets expenses to sustain the Company profitability
2.1. Prepare and recommend operating and personnel budgets for approval (e.g., fuel consumption, labour costs per project, etc.)
2.2. Monitor and manage expenditures against budgets. Adjust financials accordingly ensuring authorisation from Senior Management
2.3. Stipulate resource allocation
2.4. Develop methods to decrease cost and improve efficiencies
3. Plan and implement operational activities to ensure optimal resource productivity and the Company meet its objectives
3.1. Ensure equipment and fleet availability to meet all project needs
3.2. Evaluate the impact of work delays, interruptions or changes in plans and develop appropriate course of remedial actions
3.3. Report progress, projects completed or delays etc. to Senior Management
3.4. Monitor driver behaviour and address issues.
3.5. Utilise GPS systems to monitor drivers and track vehicles in case of theft, accidents, etc. Address and remedy any incidents immediately.
4. Advocate and abide by all Health and Safety regulations to ensure the protective well-being of all
4.1. Promote and exemplify a healthy and safe work environment
4.2. Ensure employees adhere to all Health and Safety Regulations and address non-conformance
4.3. Ensure Personal Protective Equipment (PPE) (e.g., Overalls, safety glasses, gloves, shoes, etc.) are wore on site
4.4. Conduct routine inspections of sites to detect any incidents and address immediately
4.5. Ensure presence of First Aid and Firefighting equipment in strategic locations
4.6. Ensure all employees are licensed and follow traffic regulations. Address non conformance
5. Perform analysis and reporting
to minimise variances and improve performance
5.1. Clearly communicate monthly/quarterly/yearly progress of projects or activities to all relevant Stakeholders
5.2. Prepare analysis reports on all projects, discrepancies and communicate recommendations with regards to equipment and fleet productivity.
5.3. Utilise Stakeholder feedback to improve Company's services
