Job Description

Purpose of the Role



The Somatologist provides high-quality aesthetic and wellness treatments while supporting front office and administrative functions within the practice. The role blends clinical excellence, patient care, and administrative efficiency to ensure a premium, holistic client experience.

Key Responsibilities



1. Clinical & Aesthetic Treatments



Perform professional somatology and aesthetic treatments aligned to standards and protocols. Conduct client consultations, including assessing needs, contraindications, and treatment suitability. Maintain accurate and confidential treatment notes and client records. Provide after-care guidance and product recommendations based on clinical assessment. Uphold strict hygiene, sterilisation, and infection-control standards. Monitor treatment room stock levels and prepare treatment rooms daily.

2. Client Care & Front Desk Support



Welcome clients warmly and assist with the check-in and check-out process when required. Provide exceptional service, ensuring clients feel comfortable, informed, and valued throughout their visit. Handle client queries professionally (in-person, phone, and email). Assist with appointment scheduling, rescheduling, and general practice administration. Support reception team during peak periods or staff shortages.

3. Administrative Duties



Assist with capturing and updating client/patient records accurately. Support billing, invoicing, and payment allocations when required. Assist with medical aid verification processes (where relevant to aesthetic or wellness services). Ensure all treatment and product sales are captured correctly in the system. Participate in daily end-of-day recons together with the reception/admin team. Maintain and update stock records for aesthetic consumables and retail products.

4. Sales, Product Knowledge & Client Education



Demonstrate strong product knowledge and recommend skincare or wellness products suited to clients' needs. Promote treatment packages, after-care products, and wellness programs. Educate clients on long-term skincare and wellness routines to enhance results. Meet monthly retail and service sales targets (where applicable).

Minimum Requirements



Qualification:



National Diploma in Somatology

Experience:



Minimum 2 years' experience as a Somatologist or Aesthetic Therapist. Administrative or front-desk experience within a medical, wellness, or aesthetic practice preferred.

Technical:



Proficient in MS Office (Word, Excel, Outlook). Experience with practice management or booking systems is an advantage.

Additional Requirements:



Strong interpersonal and client-relations skills (non-negotiable). Ability to work collaboratively in a medical environment. Willingness to learn and support clinical operations beyond direct treatment.

Performance Indicators



Quality and consistency of treatments delivered. Client retention, satisfaction, and feedback. Accuracy and completeness of treatment notes and administrative tasks. Contribution to overall practice efficiency and smooth client flow. Achievement of retail/product sales and service targets.
