The Senior Sales Administrator is responsible for the effective coordination, maintenance, and administration of all product price list's, catalogues and submission processes. This role ensures accurate Masterfile management, proactive planning of submissions, timely response to queries, and smooth execution of price and product updates. The Submission Administrator plays a key role in supporting sales, product, and service hub teams to ensure customer-centric outcomes, compliance with submission requirements, and efficient information flow across the business.
Key Duties and Responsibilities
Masterfile & Catalogue Management
Manage and maintain masterfiles in Bookmaster, ensuring accuracy and integrity of product data.
Oversee provincial and national requests for catalogue updates, ensuring alignment with current product offerings.
Proactively manage catalogue accuracy, including pricing reviews and updates.
Submission Planning & Execution
Plan and coordinate submissions to meet external deadlines (National and other calls for submissions).
Collaborate with Sales and Product leadership to verify and validate product information for submissions.
Pricing Administration
Manage price list updates and changes, ensuring pricing processes flow effectively.
Provide administrative support for pricing-related queries and annual K12 increases.
Support internal teams with price and costing data in preparation for Pricing Committee reviews.
Cross-functional Support & Collaboration
Liaise with Product and Sales teams to manage product lifecycles, including promotion and retirement of products.
Provide support to sub-functions within the Sales and Services Hub (e.g., submissions, local and imported products, customer data and reporting, tender, inventory, and promotions).
Deliver effective query resolution for both internal and external stakeholders.
Customer Centricity
Consistently deliver exceptional customer service by ensuring that customers are at the center of all activities and decisions.
Key Performance Indicators (KPIs)
Accuracy and timeliness of masterfile and catalogue updates.
Successful, on-time delivery of provincial and national submissions.
Accuracy and efficiency of pricing updates and annual increases.
Customer satisfaction ratings related to submission and pricing processes
Responsiveness and resolution time for internal and external queries.
Previous experience in a Sales Administration or related role (essential).
Experience with Bookmaster or similar ERP systems advantageous.
