Job Purpose:
In this role, you will be the first point of contact for visitors and callers while also ensuring the smooth day-to-day operation of our facilities. From managing maintenance logs to assisting with health and safety checks, you will be a key player in creating a safe, efficient, and welcoming work environment.
Key Responsibilities:
Reception & Switchboard Support
Provide professional and friendly front-desk service to staff and visitors
Operate the switchboard, routing calls efficiently and accurately
Support main reception during peak times or in their absence
Facilities & Maintenance Coordination:
Log, assign, and follow up on all maintenance tasks
Assist with regular risk assessments and general building maintenance
Liaise with suppliers, obtain quotations, and manage related documentation
Ensure compliance with health & safety regulations and building codes
Administrative & Reporting Functions:
Support the Facilities Manager with daily reports and scheduling
Manage stock issuing and tracking for facilities staff
Draft rosters, assist with courier schedules, and manage office-related admin
Coordinate driver diaries and facilitate timely collections and deliveries

Who We're Looking For:
At least 7 years of experience in maintenance admin, office/building facilities, and risk reporting
Proven experience in property/building maintenance, including knowledge of health & safety regulations
Experience in day-to-day team management of tasks/instructions
Strong administrative, negotiation, and communication skills
Highly reliable, punctual, and capable of working independently and within a team
Proficient in following safety procedures and familiar with applicable building codes
Experience in stock ordering and stock taking.
What You Need:
A Matric qualification (or equivalent).
A positive credit record and a clear criminal record.
Strong verbal and written communication skills.
Computer literacy and the ability to handle systems efficiently.
Health and Safety Certification (advantageous)

Working Hours:
You will be required to work a maximum of 45 hours per week:
Monday to Friday:
You will be required to work a maximum of 9 hours per day (in the week that you do not work a Saturday) and a maximum of 8 hours per day (in the week that you are working a Saturday) shifted between the times of 07:00 and 20:30 as agreed by management.
Saturdays:
You will be required to work a maximum of 6 hours per day on a maximum of 2 Saturdays per month shifted between the times of 08:00 and 14:00 as agreed by management.
