POSITION OVERVIEW:




This individual serves as the primary executive support for both the School Director and the Board of Directors, managing the day-to-day administrative operations of the School Director's office while providing comprehensive governance support to the Board and its standing committees. This strategic role requires exceptional organizational skills, discretion, and the ability to manage multiple high-level priorities simultaneously. The position serves as a key liaison between school leadership, the Board, staff, parents, and the wider AISJ community. This is a full-time position requiring flexibility to work outside normal office hours when necessary to support Board meetings, events, and School Director commitments.


Required Qualifications




Grade 12 or Matric Certificate or Diploma in Secretariat or Office Administration

Required Skills and Experience




Excellent command of the English language, both spoken and written Excellent communication skills across all mediums (verbal, written, digital) Exemplary writing and editing skills related to correspondence and minute production Ability to produce consolidated minutes from recordings Proficiency in Microsoft Word, PowerPoint, Excel, OneNote, Outlook, Google Suite, and Gmail Strong attention to detail and accuracy

Understanding of the international school community which includes a transient population and very diverse family population Prior experience working with a Board of Directors and/or CEO/Executive Director Experience in governance administration.

Duties and Responsibilities:




Board Governance Support




Prepare timely agendas, associated meeting packs, and minutes for monthly Board and Committee meetings and annual Board retreat Attend all Board and Committee meetings and special events to project documents for discussion and generate accurate minutes of proceedings (noting some events take place outside core working hours) Track and monitor action items from Board and Committee meetings, ensuring follow-up and completion Administer and maintain Board and Committee resources on Google Drives including agendas, meeting packs, Board resolutions, minutes, policies, procedures, and other governing documents Coordinate all Board functions, including monthly Board and Committee meetings, Board and Committee training and professional development, annual Board retreat, Community Information Sessions, Board election events, and Board social events Prepare and coordinate communications for all Board events Arrange the signing of annual confidentiality documentation for Board and Committee members Update necessary statutory documentation associated with outgoing and incoming Board Directors Develop annual Board and Committee calendars in consultation with the Board Chair Organize and execute the annual Board Election process in collaboration with the Board Liaise with managers and maintain real-time updates of divisional risk registers Monitor and manage content on the Board portal of the school's website.

School Director Executive Support




Provide comprehensive administrative support to enable the School Director to focus on strategic priorities and maximize effectiveness Manage the timely handling of all School Director communications including written correspondence, telephone, email, and voicemail Compose, edit, and proofread letters, documents, emails, proposals, and reports on behalf of the School Director Ensure appropriate follow-up on correspondence requiring answers, responses, and written replies Manage and organize the School Director's calendar by scheduling appointments, meetings, engagements, and daily activities Screen calls, emails, transmittals, and visitors to prioritize the School Director's time effectively Coordinate and manage travel arrangements for both business and personal purposes as delegated Prepare logistics for meetings and events, including booking and setup of venues, sending invitations, arranging catering, and coordinating event requirements Coordinate onsite meetings, luncheons, coffees, and in-house events Coordinate the hosting of school-wide events as directed Greet and check-in parents and other guests for meetings and events, ensuring a welcoming and professional first impression Perform a variety of office and personal errands as delegated by the School Director Spend time becoming familiar with all aspects of the School and AISJ community to effectively represent the School Director's office

General Administrative Responsibilities (5-10% of role)




Schedule meetings and appointments for both the School Director and Board functions Maintain organized electronic records and paper files Track action items from committee meetings Perform other duties consistent with an Executive Assistant role supporting senior leadership and governance Collaborate with and provide oversight to administrative support staff as needed

Working hours:

This is a 45-hour per-week position and may be required to work longer hours from time.
