With offices in 30 countries and projects in more than 100 countries, Conservation International partners with governments, companies, civil society, Indigenous peoples, and local communities to help people and nature thrive together.The Senior Coordinator Administration and Operations supports and contributes to the Herding for Health team, which sits within CIxe2x80x99s Africa Grasslands Program. The Herding for Health program xe2x80x94 a partnership between Conservation International and the Peace Parks Foundation xe2x80x94 is a community-driven livestock management model that supports the livelihoods of rural communities living in and around protected areas xe2x80x94 while restoring grasslands and savannas, and conserving biodiversity through herding, capacity building, and collective governance. With the ambitious goals of restoring 7 million hectares and positively impacting 3.5 million beneficiaries by 2030, collaboration, teamwork, and operational excellence is essential to ensure high impact, efficient delivery of H4H implementation.The Senior Operations Coordinator plays a key role and will be responsible for providing operational support for the administrative, financial, and human resources functions of the Herding for Health team and plays a critical support and enabling role. Duties are varied and include overseeing day-to-day financial transactions, providing project administration support, maintaining filing and reporting systems, creating reports and analysis, new hire onboarding, and other proactive office support to ensure the efficient functioning of the team. They will also provide meeting/conference planning, time recording, travel, and IT liaison support as directed.The Senior Operations Coordinator serves as a go-to resource on operational matters. They will work closely with Finance, Operations, and HR regional and global teams to ensure operational functions comply with CIxe2x80x99s policies, procedures, and donor and local reporting requirements. They will have a thorough understanding of CIxe2x80x99s policies and procedures and will be able to guide staff in applying them, and work with the supervisor to resolve more difficult questions and requests.This position does not supervise staff but assists the Herding for Health team, peers, and others. Duties are performed under general supervision.RESPONSIBILITIESOperational Support to Herding for Health Team

  • Work to ensure operational services within the H4H team run smoothly.
  • Function as a recognized resource for routine and non-routine operation matters. Educate staff in understanding and applying CI operations policies and procedures and resolving their questions or concerns.
  • Assist with onboarding new employees and managing HR paperwork.
  • Oversee day-to-day financial transactions. Duties include reviewing and preparing purchase orders, reimbursements, reclasses, and other related transactions.
  • Provide project administration and support. Duties include reviewing and verifying project information, entering and maintaining project information in CIxe2x80x99s management systems, and generating reports.
  • Create and review expense reports, track expenses and ensure accurate coding.
  • Review time reporting for proper coding and charging. Work with payroll to make corrections/reclasses.
  • Coordinate travel arrangements and handle travel expense reports.
  • Manage filing systems.
  • Track contracts and donor agreements and review for compliance with donor agreements.
  • Provide logistical support for meetings and events.
  • Function as the department liaison with IT.
  • Perform related duties as assigned.

  • Facilitate a culture of feedback, ensuring adequate avenues for team members to give and receive feedback, as well as voice grievances.
People and Resource Management Responsibilities
  • This position does not manage staff, an operating budget, or public or private funds. Typically assists peers, temporary employees, contractors, or volunteers.

  • Typical office environment.
  • Limited travel expected (not more than 10%).
  • This position follows a hybrid work structure, working some days from the office and some remotely. Guidance will be shared during the interview process.
  • This a 2-year fixed-term assignment, anticipated to begin in May 2024 and end in June 2026.
QUALIFICATIONSRequired
  • High School or Secondary School education.
  • 2 to 4 years of related work experience supporting C-suite level executives and senior management.
  • Mature individual with sound judgment and ability to navigate complex organizational structures.
  • Strong organization, communication, and interpersonal skills. Proven team player.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Fluency in MS Office and Google Apps (Mail, Drive, Hangouts, etc.), with an interest in and aptitude for learning new systems.
  • Advanced proficiency in Excel.
  • Excellent verbal and written communication skills.
  • Experience with interpreting data and generating reports and analysis.
  • Highly organized and motivated.
  • Displays meticulous attention to detail and accuracy. Proactive self-starter.
  • Discretion and sensitivity regarding personnel issues, when necessary.
Preferred
  • Bachelorxe2x80x99s Degree.
  • Own a car and driverxe2x80x99s license.
