7. Scope of Work:
The contracts manager oversees projects from the start through to completion, ensuring that work is completed safely and on time and within its budget. At all times, be the first point of contact for members of the public, clients, construction managers and sub-contractors for as long as the contract lasts. Health and safety and quality issues will be a top priority in this role, as will managing client expectations.
8. Key Responsibilities:
Ensure contract filing system implemented and record keeping into the company's main filing system.
Ensure the asset register for each site is in place and management of assets with Item Lists
Ensure strict delivery notes, invoice control and submission to head office.
Ensure safety returns submitted timeously.
Ensure plant returns submitted timeously.
Ensure labour returns submitted timeously.
Ensure site records maintained - Contractual entitlement for the company, SI's, VO's, Drawing Register, Daily Diary, etc.
Ensure that stores and material inventory is in place.
Prepare accurate project turnover forecast.
Participate in profit forecast / pre-contract objective agreement and achieve.
Produce accurate and timeous cost reports. (Cost report system to be agreed and implemented)
Maximise project cash flow.
Adjust CCS files to reflect profit forecast.
Negotiate with Suppliers and Sub-contractors where applicable especially on domestic works.
Ensure that there is submission of additional / New Rates Accurately to the client.
Ensure proper implementation and function of costing system.
Ensure weekly cost and turnover forecasts are done.
Monitor buying vs allowable throughout project.
Follow payment proses from Client.
Monitor labour and plant overtime expenditure throughout project.
Ensure effective control of contractor's extras, day works, etc.
Identify contractual risks, reduce and implement controls.
Through understanding of application of contractual correspondence and claims
Effective implementation, timeous
Establishment and maintenance of viable construction models 0% rework
Appointment, management, and payment of contractors
Implement timeline on project with claims register.
Identify risks and the management thereof.
Compliance with OHSA, EM Acts, IMS, and company policy
Target zero health, safety and environmental incident rate
Adhere to corporate governance and monitor site adherence.
Build relationship with Engineer and Representatives. Monitor site adherence.
Build relationship with Client and Client representatives. Monitor site adherence.
React to complaints and incidents. Monitor site adherence.
Perform duties and act in line with company brand. Monitor site adherence.
Build relationship with contractors and suppliers. Monitor site adherence.
Identification of risks to Quality Management.
Quality Control Plans and Method Statements must be in place.
Encourage the company to appoint technically competent team.
Lateral support and Blasting knowledge an advantage
Good understanding of construction works.
Legal Compliance and Construction regulations
15+ years' experience in site supervision/management and construction management
CCS and Buildsmart System Experience
10. Reporting Line:
The Contracts Manager will report to the Senior Contracts Manager.
11. Performance Indicators:
Time to Approval: The average time it takes for a contract to receive all necessary approvals.
Negotiation Time: The duration of the negotiation phase.
Contract Value Realization: The extent to which the contract's expected benefits are achieved.
Contract Risk Assessment: Measures the effectiveness of identifying and mitigating risks.
Risk Mitigation Effectiveness: The success rate of implementing strategies to reduce risks.
Percentage of Contracts with Disputes: The proportion of contracts that result in legal or operational disagreements.
Compliance Rate: The percentage of contracts that meet all obligations and clauses.
Standard Clause Usage: The frequency of using predefined standard clauses within contracts.
Contract Termination Notice Period Compliance: Adherence to the required notice periods when terminating a contract.
12. Health, Safety, and Compliance:
Ensure procurement practices align with HSE regulations and sustainability principles.
Maintain ethical procurement practices and prevent conflicts of interest.
