Key responsibilities include the following
oPreparation of notices, agendas, minutes and documentation for Governance and Management committees of the University
oLiaison with and where necessary an oversight role to other Committee Coordinator/s
oAdministration of elections
oMaintenance of committee membership lists
oCommittee-related tasks delegated by the Vice-Chancellor/Deputy Vice-Chancellors or other senior staff including the Head: University Secretariat, which can involve answering queries, background research, setting up of discussion groups, drafting letters and proof-reading documents
Minimum requirements
oDegree on NQF level 7 or a Diploma on NQF level 6 as a minimum qualification
oMinimum of five years proven experience in -Drafting and editing high-level meeting documentation, e.g. drafting of reports and the compilation of agendas and minutes
oExcellent proficiency in written and oral skills in the English language
Required competencies (knowledge, skills and behavioural attributes)
oKnowledge of the following -Email systems and its functionalities to facilitate meeting management
Administrative systems and processes
Compiling high-level reports, agendas and minutes
oExcellent planning, organisational, administrative and time management skills
oDemonstrable ability to -Precis debate at a high level and compile coherent reports
Prioritise, pay attention to detail and act on information, maintain confidentiality, collegiality and professionalism
Perform in a highly pressurised and deadline driven environment
Effective administration of online/hybrid meetings
oDemonstrable experience in computer literacy in Microsoft Office products and services, especially Microsoft Outlook, Word, Teams, OneDrive and SharePoint
Preference
oBA (English Major)/ (Communication) or equivalent
oCertificate in Corporate Governance and Administration
oExperience of working in a university or higher education environment
oCopy editing skills
