is responsible for overseeing all accounting functions, ensuring accurate financial records, managing junior staff, and supporting the Accounts Manager in delivering timely and compliant financial services to clients. This role requires advanced bookkeeping expertise, strong reconciliation skills, VAT and payroll management, and financial reporting.
Key Responsibilities:
Accounting & Financial Management
Perform and oversee data capturing, monthly, biannual, and annual client accounts.
Reconcile bank statements, credit card statements, loan accounts, and supplier/customer statements.
Manage VAT reconciliations, calculations, and submissions, ensuring timely filing and client payments.
Prepare and review management accounts, ensuring they are sent to clients monthly.
Verify payroll reconciliations (PAYE, UIF, SDL) and ensure compliance.
Process expense slips (petrol, airtime, electricity, etc.) and maintain accurate records.
Calculate depreciation and maintain/update asset registers.
Prepare trial balances and ensure accounts align with prior-year financial statements.
Assist in SARS audits by gathering supporting documents and communicating with clients.
Handle provisional tax submissions and ad-hoc tax-related services.
Oversees the administrative team with CIPC, Tax submission, SARS submissions and other administrative functions.
Team & Workflow Management
Supervise junior administrators and bookkeepers, assign tasks, and provide guidance.
Manage the accounts and admin teams to ensure all KPI's are met.
Review timesheets of accounts staff and submit weekly reports for management review.
Ensure clients submit required documentation on time by following up regularly.
Train clients on Sage (bank statement capture, supplier invoices, adding new suppliers).
Verify work completed by junior staff before submission to the Accounts Manager.
Compliance & Reporting
Ensure all accounts balance before final trial balance preparation for Annual Financial Statements (AFS).
Check that SARS instalments, loan accounts, and stock figures are accurate.
Confirm supplier/customer accounts match statements and resolve discrepancies.
File backups before cashbook updates and maintain organized supporting documentation.
Identify and note any issues in accounts for review.
Monitor penalties and interest on SARS payments, ensuring proper accounting.
Software & Systems
Work on
Sage
and
Pastel
for accounting entries, reconciliations, and reporting.
Send clients VAT and month-end reports upon completion.
