The Senior Assessment & Graduation officer is responsible for supervising and overseeing all assessment and graduation related duties, ensuring effective communication with students and academic stakeholders in terms of assessments and graduation queries and processes.
Quality assures documents for distribution and data received from faculties, ensure that quality assurance processes are completed.
Supervision of staff in AGC office, training of new staff, manage workflows and maintain team schedules.
Responsible for all operational and Human Capital matters relating to external invigilators.
Job Knowledge, Skills and Experience Minimum Requirements:
Require a relevant 3 year post matric qualification,
3 years supervisory and administrative experience within the higher education sector, directly related to the duties and responsibilities specified
Recommended:
National Senior Certificate or equivalent with 4-5 years supervisory and administrative experience within the higher education sector, directly related to the duties and responsibilities specified.
Extensive knowledge of ITS Integrator Student Management System and sub-system,
Key Performance Areas / Principal Accountabilities Assessment Operations Oversight:
Oversee the preparation and execution of all assessments, ensuring that daily operations run smoothly and are completed successfully. Conduct quality assurance on all assessment incident reports and ensure compliance with the University's Assessment Policy and established processes across all assessment activities.
Provide regular reports on assessment matters to the Assessment Office and the Manager: AGC.
Document Management Oversight:
Ensure compliance with CPUT policies, the POPIA Act and established document management processes in line with the AGC file plan and guidelines.
Oversee the preparation and distribution of documents to all relevant stakeholders.
Develop, implement, and maintain Standard Operating Procedures for question paper management, assessment document handling, and other AGC-related processes.
Supervise and ensure the effective management of enquiries to support efficient service delivery.
Graduation operations:
Ensure the development and implementation of Standard Operating Procedures for all graduation processes and other AGC-related matters.
Align AGC graduation processes with approved systems and provide support to faculties with graduation identification in accordance with AGC SOPs.
Oversee the quality assurance of data capturing and the processing of SENEX and Senate resolutions. Supervise all communication with graduates, faculties and other stakeholders.
Provide regular reports on graduation matters to the Graduation Office and the Manager: AGC.
General Office administration:
Maintain comprehensive knowledge of all relevant rules and policies, ensuring their correct application in all AGC processes.
Manage and resolve queries received and carry out duties as assigned by the Manager: AGC and other senior staff members.
Oversee and coordinate all administrative functions within the AGC office to support effective operations.
Human Resource Management:
Supervise staff within the AGC office by managing workload distribution, monitoring leave schedules and ensuring balanced task allocation.
Support the identification of skills gaps and training requirements and conduct performance appraisals to promote staff development.
Ensure adherence to disciplinary codes and University policies, while overseeing all other human capital operational activities within AGC.
