Body Corporates, Homeowners' Associations, and Property Associations trust us to manage their residential, commercial, and industrial property investments.Our fast-paced, growing company is seeking a Senior Property Portfolio Manager to join our dynamic team and oversee a portfolio of approximately 18 schemes.To learn more about us, visit: www.strattonpm.co.za.Duties & ResponsibilitiesADMINISTRATION & ADVISORYObtain insurance quotes for the assets of the community scheme, including buildings, common property, fidelity insurance, and public liability. Conclude the necessary policies.Co-ordinate valuations of buildings and common property improvements.Submit common property insurance claims and assist owners by directing individual claims to the insurance broker.Advise trustees on interpreting the Sectional Titles Act, Constitution, Management and Conduct Rules, and provide guidance for effective management.Keep trustees informed of legislative developments impacting the scheme.Facilitate amendments, updates, or consolidations of rules, policies, and other governing documents by sourcing professional assistance.Guide trustees on the process for raising special levies, drafting resolutions, and addressing owner queries.Distribute and explain monthly debtor arrear reports to trustees.Submit CSOS forms, including annual returns, rule amendments, and registration documents.Support trustees and owners in navigating online portals for sharing key documentation.Assist with municipal debt arrangements, obtaining legal documents, and sectional or building plans.Co-ordinate with architects, estate managers, and other professionals for compliance with architectural guidelines and regulations.Handle incident reports, pet approval applications, and communicate trustee decisions to relevant parties.Facilitating complex maintenance and engaging compliant contractors for services.Overseeing contractor performance and ensuring timely payments.Ensuring that common property is maintained to high standards.Staff and Team Management:Managing complex employees and ensuring payroll compliance.Overseeing support team processes to ensure smooth operations.Other Responsibilities:Awareness of legislation updates and continuous knowledge enhancement.Ensuring internal audit requirements are met and gaps are addressed.Conflict management and resolution of disputes within complexes.SECRETARIALArrange, attend, and facilitate Annual General Meetings (AGMs) and trustee/member meetings.Handle meeting logistics, including agendas, proxies, quorum confirmation, voting slips, and minutes.Provide guidance on procedural matters for AGMs, special general meetings, and resolutions.Organize and facilitate online or hybrid meetings with tools like Microsoft Teams and Meeting Space.Draft and distribute levy increase resolutions, letters, and approved budgets.Maintain official records, including meeting minutes, attendance registers, resolutions, insurance policies, and building documents.Distribute circulars, newsletters, warning, and penalty letters as required.ACCOUNTING & REPORTINGValidate supplier invoices and obtain payment approvals in line with the budget or service level agreement.Explain annual budgets to trustees and scheme members.MAINTENANCESource, vet, and obtain quotes from suppliers for common area maintenance.Act as the liaison between trustees and stakeholders regarding maintenance issues.Co-ordinate off-site maintenance support, including obtaining quotes and facilitating supplier access.Conduct site visits and prepare inspection reports.Desired Experience & QualificationsMinimum Requirements:Min 5 years' experience in Property Management, specifically sectional title management and is familiar with the Sectional Titles Act.Computer literate (MS Office)Effective verbal and written communications skillsConflict management skillsExcellent Project management and time management skillsSectional Title Scheme Management Certificate will be advantageousNQF level 4 Real Estate qualification would be advantageousRelevant tertiary qualification or a Sectional Title Diploma/Certificate is advantageous.Must have dedication and an excellent sense of customer service.Driver's license and reliable transportValues & Behavioural Requirements:Customer-focusedClear communicatorStructured and organizedAccountable and responsiblePositive, can-do attitudeImportant Notes:By submitting your CV and being shortlisted, you consent to the company:Contacting references, government institutions, or registered credit bureaus to assess your profile, reliability, and creditworthiness.Retaining your CV on file for future opportunities if your application is unsuccessful.If you do not receive feedback within three weeks, please consider your application unsuccessful.If you are a motivated professional eager to contribute to a dynamic and fast-growing team, we encourage you to apply.
