Secretary/Receptionist/Administrator in Photo & Video & Content Creation Studio Junior Receptionist / Assistant / Admin / Secretary Duties

(Photography, Videography & Content Studio - South Africa)

Your duties might include the following, but is subject to change where required

1. Front Desk & Client Interaction

Greet clients and manage walk-ins or scheduled bookings. Handle incoming calls, WhatsApp messages, and email queries. Schedule appointments, shoots, and studio bookings using a calendar system. Maintain a clean and professional reception/studio entrance.
2. Admin & Office Duties

Keep client records up to date (contact details, booking history). Issue invoices, receipts, and assist with basic bookkeeping/admin filing. Assist with petty cash recording and studio expenses tracking. Order office and studio supplies (stationery, batteries, hard drives, etc.). Prepare basic contracts, quotes, and job sheets.
3. File & Data Management (Critical)

Download photos and videos from memory cards immediately after shoots. Organise files into correct folders with clear naming conventions (e.g., "ClientName_Event_Date"). Perform initial quality checks (e.g., blurred images, corrupted files). Create backups to external hard drives and cloud storage (Google Drive, Dropbox, OneDrive). Ensure file preservation, naming consistency, and zero data loss. Maintain archive of old projects for quick retrieval if needed.
4. Memory Card & Equipment Handling

Label and rotate memory cards to avoid overwriting. Format memory cards only after confirming successful file backup. Assist in tracking batteries, lights, tripods, props, and camera gear. Maintain equipment logs: check-in/check-out usage.
5. Creative Workflow Support

Prepare studio for shoots: lighting, props, cleanliness, background setup. Assist photographers and videographers during shoots (e.g., holding reflectors, preparing gear). Set up and test audio/video gear under guidance. Assist in syncing audio and video files post-shoot if required. Export short clips, behind-the-scenes footage, or watermarked previews for social media (basic editing or with guidance).
6. Social Media & Content Admin (if applicable)

Help schedule social media posts using tools like Meta Business Suite, Later, or Buffer. Draft basic captions and upload content as directed. Maintain client testimonials, behind-the-scenes albums, and social proof folders.
7. Studio Organisation & Support

Keep studio, office, and reception areas clean and organised.

Monitor printer, lights, cables, power backups, and notify when something is faulty. Help prepare refreshments for clients or guests if required.
Skills & Tools You Should Know or Be Trained On:

Basic computer literacy (MS Word, Excel, email) File management (Windows/Mac, external hard drives) Familiarity with platforms like WeTransfer, Google Drive, Dropbox Bonus: Canva, Adobe Bridge, Lightroom, CapCut or basic editing tools Good communication, time management, and attention to detail
