What we are looking for:

We are looking for a confident Sales Coordinator capable of working in a high-pressure environment to prioritise sales team and client requests in order to deliver on our commitments to clients and support our growth ambitions.

What you will do:

Sales contract and process management

  • Understanding of a sales environment with preference towards the media industry (ideally OOH media)
  • Manage the optioning and contract process, ensuring all activity is channelled through our asset management system and spreadsheets are updated regularly
  • Understanding of how to use our asset management system in depth
  • Managing the contract folders to ensure consistency, accuracy and kept in a neat and orderly fashion
  • Define and improve a streamlined way of working
Sales admin and support
  • Assist the sales team with marketing sheets and proposals
  • Putting proposals together on behalf of the sales team to share with clients when required
  • Managing client calls on behalf of the Account executives if AEs are out of office
  • Good communication skills with a natural ability to build relationships both internally and with our clients
  • Maintaining standard sales decks and availability schedules as and when changes are made
  • Prepare site bibles and proof of flighting for account executives
Reporting
  • Provide reports to the commercial director on renewals, contracts, proposals and options on a weekly basis
  • Ensure post campaign reports are shared internally with the relevant Account Executives as per committed timelines
  • Ensure proof of flighting pics are shared and saved in relevant folders and put into client templates where required
  • Updating of performance reports (digital) with planned vs achieved and added value provided
What you must have:
  • Experience in the media industry and preferably within OOH advantageous
  • Be proficient at using Microsoft products (Excel, Word and PowerPoint) and other internal relevant software
  • Excellent written and verbal communication skills, including email professionalism
  • Ability to problem solve and manage conflict
  • Strong project management skills, able to prioritise and manage team and client expectations
  • Excellent attention to detail and excellent admin skills
  • Proactive, flexible and organised with a positive attitude
  • Punctual and available to the sales team during working hours (at times outside of working hours)
  • This is an in-office role, however home connectivity is a requirement
