Prepare and process sales quotations, sales orders, and invoices accurately and timeously
Capture customer orders on the internal system and ensure all specifications (branding, quantities, artwork, delivery dates) are correct
Maintain and update customer records and pricing information
Customer Service
Serve as a point of contact for customers regarding order status, lead times, and delivery queries
Communicate clearly with customers to confirm artwork approvals, proofs, and order details
Handle customer queries and resolve issues in a professional and timely manner
Production & Operations Coordination
Liaise with production, warehousing, and logistics teams to ensure orders are scheduled and delivered on time
Track order progress and proactively follow up on deadlines
Ensure all required documentation is supplied to production and dispatch
Reporting & Documentation
Generate order summaries, and follow-up schedules as required
Assist with stock checks and availability confirmations where required
Skills & Competencies
Strong administrative and organisational skills
Excellent verbal and written communication skills
High attention to detail and accuracy
Ability to multitask and manage deadlines in a high-volume environment
Customer-focused with a proactive problem-solving approach
Confident working with, CRM software, and Microsoft Office (Excel, Outlook, Word)
Minimum Requirements
Matric / Grade 12 or equivalent; additional relevant qualification is a plus.
Previous experience in a sales administration or customer service role
Experience in promotional products, printing, branding, or manufacturing will be advantageous
Ability to work well under pressure and within tight turnaround times
