Job Title: Sage Evolution Data Capturer

Salary: R15,000 - R20,000 per month (depending on experience)

ROLES AND RESPONSIBILITIES: SAGE EVOLUTION DATA CAPTURER (JOBBING FOCUS)
JOBBING AND SERVICE RELATED RESPONSIBILITIES:
Create Sage Quotes: Generate accurate and timely quotes for customer jobs, ensuring all information aligns with customer requirements and business pricing structures.
Stock Transfer Management: Process stock transfers for jobbing operations within Sage Evolution, ensuring seamless stock allocation for customer orders and service jobs.
Job Opening and Invoicing: Open jobs within the Sage system, process relevant invoicing upon job completion, and ensure all records are accurate for accounting purposes.
Customer Breakdown Management: Log and track customer breakdowns in the system, consume parts as required, and prepare detailed paperwork for job completion.
Parts Picking Slips Creation: Produce accurate picking slips for the parts required in jobbing operations, ensuring parts are readily available for technicians and the workflow remains uninterrupted.
Service Certificates: Create and issue service certificates upon the completion of jobs, ensuring all documentation is accurate and complies with company policies.
CUSTOMER INFORMATION AND DOCUMENTATION MANAGEMENT:
Prepare Monthly Service Invoices: Compile and prepare customer paperwork related to monthly service invoicing, ensuring all services performed are documented and billed correctly.
Maintain Customer Information: Regularly update and maintain customer details across various platforms (Coupa, Sage, CRM, etc.), ensuring all customer records are current and accurate.
Follow-Up on Quotations: Follow up on quotations previously sent to customers on Sage, ensuring timely go-ahead approval for jobs, and track responses to ensure job schedules are met.
ADMINISTRATIVE SUPPORT AND PLANNING:
Update the Planning Board: Regularly update the planning board to ensure efficient scheduling and allocation of resources for all jobs and services, tracking job progress and deadlines.
General Administrative Duties: Provide general administrative support as needed, including processing purchase orders (PO), tracking job statuses, and liaising with other departments (SALES, STORES, SERVICE TEAM).
COMMUNICATION AND COORDINATION:
Customer Coordination: Act as a point of contact for customers in relation to job quotations, breakdowns, and job status updates. Communicate effectively with clients regarding their needs, queries, and the progress of their jobs.
Interdepartmental Collaboration: Work closely with the sales, stores, and service teams to ensure smooth workflow, timely job completion, and effective resolution of issues related to jobbing operations.
REPORTING AND QUALITY ASSURANCE:
Reporting: Assist in generating reports related to job progress, invoicing, stock levels, and customer service data. Ensure accurate tracking of all relevant metrics.
Quality Assurance: Ensure all jobbing-related data captured in Sage is accurate, complete, and compliant with internal processes. Provide feedback to supervisors or managers to enhance operational efficiency and quality.
ADDITIONAL AD-HOC DUTIES:
General Support: Support any additional ad-hoc duties as required by the company, including assisting with new projects, process improvements, or administrative tasks.
